The HR Shared Services Specialist provides accurate, timely HR support across the employee lifecycle while ensuring strong compliance, data integrity, and consistent service delivery. This role supports core HR operations and reporting, policy and handbook updates, partners with key stakeholders on compliance and risk-related activities, and assists with Total Rewards processes such as merit, bonus, credentialing, and workers’ compensation administration.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field required.
  • 4+ years of experience in HR operations, HR shared services, or general HR support roles
  • Experience working in HRIS systems and handling employee data and reporting.
  • Strong attention to detail and comfort managing recurring deadlines
  • Strong understanding of HR compliance requirements, including FLSA, I‑9, EEO, and record‑keeping standards.
  • Proficiency in Microsoft Office, especially Excel (VLOOKUP, pivot tables) and Copilot, and ability to manage data with accuracy.

  • High-speed internet service (cable or fiber optic) with minimum download Speed of 20 Mbps, Upload Speed of 5 Mbps, and Maximum Latency of 100 milliseconds (must be installed before starting) required.

  • Must be able to constantly remain in a stationary, sitting position, communicate and exchange information with others, inspect information, perform repetitive motions with arms and fingers, interpret data, problem solve, make decisions, organize and plan, and maintain a positive and professional attitude in all situations.
  • Work is performed from home with company-provided equipment. Sitting for long periods of time is expected and use of fingers and hands for typing is necessary.
  • A quiet workspace with minimal background noise for calls.

Responsibilities

  • Provide responsive, accurate employee and HR support by managing the HR shared inbox, processing HRIS transactions and data changes, maintaining employee records, and supporting compliant offboarding processes.
  • Ensure operational excellence through record retention compliance, automation and distribution of standard HR reports, and ongoing maintenance and improvement of HR SOPs in collaboration with subject matter experts.
  • Support FLSA classification reviews, immigration and background check compliance, unemployment processes, and required regulatory reporting (e.g., EEOC, VETS), escalating risks as needed to ensure adherence to laws and policies.
  • Maintain the HR policy review calendar, draft and coordinate updates to policies and the Team Member Handbook, participate in governance committees, and prepare documentation and data for internal and external audits (e.g., URAC, 401(k), DOL).
  • Monitor compliance training, licenses, certifications, and credentialing requirements (e.g., BLS, driver’s license attestations), ensure timely renewals and accurate records, and identify opportunities for automation and improved reporting.
  • Support workers’ compensation claims, annual merit and bonus cycles, sign-on and referral bonus payments, new hire compensation entries, and tracking of repayment or clawback obligations to ensure accuracy and policy compliance.
  • Coordinate tuition reimbursement payments, verify eligibility and payment status, escalate complex cases as needed, and identify opportunities to streamline, automate, and improve total rewards processes.
