Requirements

  • High School Diploma required
  • Minimum of five (5) years of progressively responsible related experience
  • Equivalent combinations of education and experience may be considered

Responsibilities

  • Completes special assignments requiring the collection, organization, and analysis of data, which may serve as the basis for significant decisions
  • Assists in preparing budgets, provides guidance on budget projects, and monitors departmental expenses
  • Performs complex assignments and resolves issues escalated by staff or supervisors
  • Executes all administrative tasks assigned to lower-level administrative roles as needed
  • Answers phones, screens calls, takes messages, and directs inquiries to appropriate staff
  • Greets visitors courteously, identifies needs, and directs them accordingly
  • Establishes and maintains departmental filing systems and procedures
  • Retrieves and provides information for internal and external use
  • Manages calendars, appointments, and meetings for one or more executives
  • Coordinates domestic and international travel, including itineraries and expense reports
  • Prepares executives for daily activities and priorities
  • Organizes meetings and special events, including: Reserving facilities Arranging equipment and materials Coordinating speakers, meals, or refreshments Developing agendas and seating arrangements
  • Receives, reviews, and distributes incoming correspondence
  • Reviews outgoing communications for consistency and adherence to policies
  • Prepares correspondence, reports, manuscripts, charts, and graphs
  • Designs and generates reports, statistics, and presentations
  • Operates standard office equipment (phones, copiers, fax machines, computers)
  • Gathers, verifies, and consolidates data for budget preparation and variance monitoring
  • May provide guidance or direction to clerical or administrative staff
  • Distributes work assignments and assists in training employees
  • Provides input for performance evaluations and personnel actions
  • Initiates and processes employee transactions with appropriate approvals
  • Assists in resolving employee concerns and determining appropriate actions
  • Interprets departmental policies and directs staff to appropriate resources when needed
  • Collaborates with management to develop professional growth plans
  • Participates in training and educational in-services
  • Performs other duties as assigned
