About The Position

As a Senior Administrative Coordinator, you will perform a range of moderately complex and confidential administrative duties, requiring considerable skill and knowledge of organizational policies and procedures. You will screen calls and visitors, resolve routine and complex inquiries, and manage calendars, appointments, meetings, and travel arrangements. You will exercise moderate autonomy in troubleshooting issues and anticipate the needs of the person you support.

Requirements

  • Proficiency in administrative support and assistance.
  • Skill in calendar management and expense reimbursement.
  • Experience in travel management and expense reconciliation.
  • Strong ability in travel coordination.
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 5+ years of total relevant work experience.
  • Proficiency with MS Suite, Concur, and Zoom.

Responsibilities

  • Perform moderately complex administrative assignments related to meeting, seminar, workshop, and conference planning, including material production, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors.
  • Assist with special projects across multiple teams, including workstream participation.
  • Conduct research for individual contributors; compile, analyze, and summarize information for reports and correspondence.
  • Compile, review, and analyze complex data, keep databases and share sites updated, and provide accurate data and information on functional unit processes and procedures.
  • Coordinate executive meetings, including logistics, collection and coordination of meeting materials, agenda creation, and recording meeting minutes.
  • Assist in the preparation of correspondences, memoranda, and reports, as well as copying and filing and processing documentation of expenses and vouchers.
