About The Position

The University of Miami, Miller School of Medicine, Human Genetics Department is seeking a Senior Clinic Assistant to work full-time, on-site in Miami, FL. The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.

Requirements

Responsibilities

  • Explains HIPPA to patients and obtains signatures.
  • Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.
  • Tracks pending records to ensure delivery prior to clinic visits.
  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.
  • Travels within the facility and campus to retrieve records, films, or CDs.
  • May collect and prepare specimens.
  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.
  • Assembles, completes, and processes patients’ charts.
  • Assists with ordering, receiving, distributing, sorting, and storing supplies.
  • Reports suspicious or unusual incidents to appropriate supervisory personnel.
  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Support collection and documentation of personal and family cancer history prior to visits, including facilitating pedigree completion using approved tools and workflows.
  • Prepare patient charts in advance by reviewing schedules, identifying missing information, contacting patients as needed, and uploading outside records, pathology reports, and prior genetic testing results.
  • Assist with appointment scheduling, rescheduling, and visit confirmations.
  • Place genetic test orders under the direction of a genetic counselor or physician.
  • Upload test requisitions, consent forms, and related documentation into laboratory and medical record systems.
  • Communicate with testing laboratories to ensure required documentation is received and testing proceeds without delay.
  • Track genetic test orders through completion and troubleshoot issues as needed.
  • Upload genetic test results into the medical record and route to the appropriate genetic counselor or physician for review.
  • Contact patients, as directed, to assist with scheduling follow-up appointments.
  • Coordinate replacement sample kits and communicate with patients and laboratories regarding failed samples, missing information, or testing issues.
  • Maintain and update a genetic testing database to support clinical operations.
  • Track key data elements including test type, laboratory, order and result dates, test status, and follow-up completion.
  • Perform data quality checks and proactively identify issues such as delayed results, incomplete documentation, or unmet follow-up, and notify the appropriate genetic counselor or supervisor.
  • Maintain organized task tracking to support efficient clinic workflows.
  • Assist with limited insurance-related tasks as needed, such as submitting documentation requested by laboratories.
  • Perform other duties as assigned.
