About The Position

The Sr. Payroll Specialist is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. This individual is responsible for processing payroll for multiple locations and will coordinate with the site payroll point of contact for processing. The Sr. Payroll Specialist will review the computation of pay and associated deductions for accuracy and will work closely with our payroll provider to correct any discrepancies. The person in this role will also work closely with individuals in finance to help with any payroll and/or tax reconciliations that are required. The Sr. Payroll Specialist will be the point person for any employee with questions and payroll discrepancies. Requirements

  • Associates Degree required; Bachelor's Degree in Business, Accounting, HR or related field preferred or equivalent experience
  • Minimum of 5 years of experience with payroll administration
  • Experience with payroll service providers, ADP Workforce Now preferred
  • Comprehensive understanding of California and Colorado pay compliance and laws
  • Extensive knowledge of federal, state and local payroll laws and regulations, including FLSA
  • Excellent attention to detail and accuracy
  • Excellent interpersonal, communication and organization skills
  • Demonstrated ability to maintain strict confidentiality and handle sensitive matters effectively
  • Exercise discretion and tact in processing documents and information of a confidential nature in a variety of areas, including payroll administration, benefits and compensation
  • Self-motivated and have a sense of urgency
  • Must be able to communicate (written and verbally) in English
  • Advanced proficiency in MS Office applications (Word, Excel, PPT)
  • Maintain work areas in a neat, orderly and safe manner

  • CPP (Certified Payroll Professional) preferred

Responsibilities

  • Owns and processes payroll and related tasks for multiple locations
  • Ensures accurate timecard approvals and payroll data integrity
  • Provide advice and guidance on payroll issues
  • Maintains up to date knowledge of city, state, local and federal legislation affecting payroll; understand and follows applicable provisions
  • Coordinate payroll discrepancies and issues are escalated and resolved promptly
  • Process wage garnishments, tax levies and support orders
  • Provides Finance with payroll funding and associated tax information
  • Reconcile payroll, 401k and any benefit deductions
  • Reconcile benefit billing with payroll enrollment reports
  • Responsible for submission and reconciliation of 401k and deferred compensation contributions
  • Process any special payout, adjustments and termination checks
  • Manager 1095C and W2 processing, including W2 reconciliation and W2 issuance
  • Assist in annual 401k compliance audit and true-up activity
  • Lead responses to audit requests (financial, payroll, 401k and other compliance audits), providing timely and accurate data, reconciliations and supporting documentation
  • Reconcile GL and audit GL mapping and resolve any discrepancies
  • Ensure compliance with payroll and pay practices
  • Ensure continuous compliance with local, stat, and federal regulations including preparing and filing monthly, quarterly and annual payroll records
  • Generate and analyze payroll reports, including monthly headcount reports (including CFA)
  • Establishes new employer payroll setup in new states as required
  • Maintain detailed records including payroll registries, payroll review checklist and other documents for audit and legal compliance
  • Support continuous improvement of payroll processes and documentation of payroll procedures
