About The Position

Are you an organized, detail‑driven professional who thrives in a fast‑paced, people‑focused environment? Our Talent Acquisition team is looking for a Senior Recruiting Assistant to play a vital role in delivering a smooth, engaging, and highly professional experience for candidates, hiring teams, and our internal stakeholders. In this role, you’ll support more complex recruiting and onboarding processes - including coporate office, executive, and Department of Transportation, help manage events for interns and co-ops, and serve as an essential administrative partner to the Talent Acquisition team. If you enjoy managing many moving parts, finding ways to improve processes, and working collaboratively across teams, we’d love to meet you.

Requirements

  • High school diploma or equivalent with 5 years of progressively complex administrative experience, preferably supporting recruiting or executive functions. An equivalent combination of education and experience will be considered.
  • Demonstrated success in scheduling and coordinating for multiple stakeholders.
  • Ability to manage competing priorities in a dynamic, fast-paced environment.
  • Strong attention to detail, accuracy, and confidentiality.
  • Excellent verbal and written communication skills.
  • Ability to quickly learn recruiting and onboarding software such as SuccessFactors and iCims TextRecruit.
  • A valid driver’s license and a favorable motor vehicle report for minimal, local travel (up to 5% of the time).

Responsibilities

  • Serve as the go-to administrative partner for the recruiting team, using your knowledge of policies, programs, and systems to keep processes running smoothly.
  • Create job requisitions using our applicant tracking system and maintain job postings on Handshake.com and other external job boards.
  • Coordinate a high volume of interviews, candidate travel requests, and cross-department scheduling.
  • Manage pre-employment processes including background checks, drug screens, physicals, and new hire onboarding tasks—ensuring a seamless, positive candidate experience.
  • Support intern and co-op programming by maintaining event calendars, tracking costs, managing material inventory, and assisting with event registration.
  • Provide reception desk support at the corporate office.
  • Conduct research, compile data, and prepare materials for presentations and decision-making.
  • Implement process improvements and leverage new technologies for data collection and documentation.
  • Champion fair and equitable treatment of all candidates and employees throughout the hiring process.
