The primary responsibility of the Staffing Administrator is to provide administrative support for the staffing department. The Staffing Administrator drives the staff onboarding process, assists with payroll, and proactively manages data entry in both ADP and Dynamics. The Staffing Administrator also oversees Travel Director bookings, working closely with the Manager, Account Management.

Requirements

  • Bachelor's degree or equivalent experience, in related field such as the staffing or recruiting industries
  • Organizational & Attention to Detail skills are a must
  • Strong verbal & written communication skills
  • Must be able to prioritize tasks and manage time effectively
  • Capability to work with little supervision while making sound decisions

Nice To Haves

  • Familiarity with ADP is highly preferred but not required

Responsibilities

  • Oversee onboarding for Field Staff & Travel Directors to ensure new hires have a smooth and welcoming start
  • Assist with Field Staff & Travel Directors recruiting by reviewing resumes and conducting interviews with qualified staff as needed
  • Assist with sourcing and recruiting staff in new territories
  • Maintain employee records, ensuring compliance with state and local laws
  • Timely entry of new hires into HRIS and CRM systems
  • Continually update CRM with Field Staff & Travel Directors notes, addresses, emails, phone numbers, and other pertinent information
  • Work with the Human Resources Manager to update onboarding paperwork as needed
  • In conjunction with the Office Manager, maintain inventory and distribute staff uniforms to include shirts, jackets, badges, and clipboards
  • Work with Sr. Staffing Specialist to track new hire progress in CRM
  • Update CRM with Field Staff & Travel Directors performance feedback from the team, and work to ensure staff ratings and skillsets are current and accurate
  • Assist with bi-weekly payroll by ensuring that hours, pay & supplemental codes have been entered timely and accurately
  • Provide ADP support to staff by answering FAQs with support from Human Resources Manager
  • Gather and file all staff payroll receipts
  • Work with the Human Resources Manager for all special payroll requests or discrepancies
  • Run payroll reports and save in the program files biweekly before payroll and as requested by Account Managers
  • Help create staff newsletters throughout the year
  • Provide logistical and coordination support for staff gifts
  • Work in conjunction with Manager, Account Management to ensure Travel Directors are booked timely
  • Ensure all booked Travel Directors have confirmed their schedules in advance of the program start date, and replace any Travel Director cancellations as needed
  • Maintain accurate and up to date Travel Director availability in Dynamics, keeping abreast of schedules to fulfill Travel Director needs, strategically forecasting needs during busy seasons
  • Provide back-up to Sr. Staffing Specialist as needed
  • Assist with last-minute staffing requests
  • Confirming staff schedules or availability
