About The Position

Be a part of a world-class academic healthcare system, UChicago Medicine, as a Procedure Scheduling Supervisr at our Hyde Park Location. This position is a 100% onsite opportunity. You will need to be based in the greater Chicagoland area. As a Procedure Scheduling Supervisor’s you will be responsible for working collaboratively with physicians, Procedure Schedulers, and patients in order to ensure that procedures and/or surgeries are scheduled and coordinated appropriately. The Scheduling Supervisor r will have oversight of the GI Procedures business office area and will perform tasks needed to assist with daily operations and ensuring efficient patient throughput. This includes troubleshooting patient issues, monitoring call center wait times, and providing service recovery where appropriate. The Scheduling Supervisor is accountable for achieving performance and service targets and metrics in a manner consistent with the Ideal Patient Experience approach and philosophy.

Requirements

  • Bachelor’s Degree required
  • Supervisory experience required
  • 3-5 years of scheduling experience
  • Knowledge of medical terminology required
  • Excellent interpersonal skills, including the ability to establish and maintain effective relationships with patients, physicians, management, staff and other customers
  • Exceptional customer service skills including the ability to use independent thinking, sound judgment and creativity when resolving customer issue
  • Ability to balance multiple priorities and effectively handle challenging situations
  • Ability to use personal computers and select software applications

Nice To Haves

  • Experience in Epic-OP Time (Epic operating room scheduling module) preferred
  • Successful completion of Cadence Scheduling system training and competencies preferred

Responsibilities

  • Work collaboratively with physicians and staff members to schedule surgeries in Op Time/ EPIC for various locations in the health system
  • Coordinate schedules with time and equipment availability; identify conflicts and adjust schedules as needed
  • Serve as the liaison between the off- sights and the clinic.
  • Order and coordinate delivery of special supplies and equipment, as necessary
  • Collaborate with Supply Chain to enter vendor information and supply into Vendormate system
  • Schedule Anesthesia for procedures, as necessary and per protocol
  • Document all messages electronically using the In Basket functionality and forward to the appropriate clinical provider
  • Attend Daily Huddles to report operational metrics
  • Oversees the Procedure Schedulers and all scheduling activities
  • Proactively identify process improvement opportunities
  • Provide service recovery with unhappy patients. Escalate patient concerns per protocol
  • Other administrative duties as assigned or requested
  • Daily monitoring of the procedure schedule and communication with department nurses, staff, and physicians as necessary to confirm accuracy of scheduled cases.
