About The Position

We are seeking a highly organized and detail-oriented individual to join our real estate team at Navigate Realty as a Transaction Coordinator. In this role, you will be responsible for overseeing the entire real estate transaction process, ensuring smooth and successful transactions for our clients and agents. This person will be able to collaborate with agents, clients, and vendors to facilitate efficient and compliant transactions from contract to closing. Preference will be given to Licensed Tennessee Real Estate Agents. Key Responsibilities: Transaction Coordination: Serve as the primary point of contact for all parties involved in real estate transactions, including agents, clients, lenders, title companies, and attorneys. Coordinate and manage all aspects of the transaction process, ensuring compliance with legal and regulatory requirements. Review contracts, agreements, and related documents to ensure accuracy and completeness. Keep agents organized by adding important dates to calendars and sending reminders as needed. Facilitate clear communication between all parties, providing updates, answering inquiries, and addressing concerns throughout the transaction. Track key milestones and deadlines, ensuring timely completion of tasks and proactive problem-solving to prevent delays or issues. Contract Management: Assist agents in preparing and submitting complete and accurate contracts and related documents. Coordinate the execution of contracts, ensuring all parties sign and receive copies within specified timeframes. Maintain organized and up-to-date transaction files, including contracts, addenda, disclosures, and other relevant documents. Transaction Documentation and Record keeping: Prepare and distribute transaction-related documents, such as amendments, extensions, and addenda, as needed. Maintain accurate and detailed transaction records Ensure proper filing and storage of transaction documents, both electronically and in physical files. Communication and Customer Service: Serve as a liaison between agents and clients providing regular updates on transaction progress and addressing any concerns or issues. Deliver exceptional customer service by promptly responding to inquiries and providing professional and knowledgeable assistance throughout the transaction process. Foster positive relationships with clients, agents, and external partners, promoting a high level of satisfaction and loyalty. Process Improvement and Compliance: Stay updated on industry trends, regulations, and best practices related to real estate transactions. Identify opportunities for process improvement and implement efficient systems and tools to enhance transaction management. Ensure compliance throughout the transaction process. Requirements

  • Previous experience as a transaction coordinator, transaction manager, or similar role in the real estate industry or firsthand real estate sales experience.
  • In-depth knowledge of real estate transaction processes, contracts, and related documentation.
  • Strong organizational skills with the ability to manage multiple transactions simultaneously and prioritize tasks effectively.
  • Exceptional attention to detail and accuracy in all transaction-related activities.
  • Excellent communication and interpersonal skills, with the ability to build rapport and maintain professional relationships with clients.
  • Familiarity with regulations and compliance requirements in the real estate industry.
  • Strong problem-solving and decision-making abilities, with the capacity to handle challenges and unexpected situations.
  • High level of professionalism, integrity, and discretion when handling sensitive information.
