The Transportation Coordinator provides support to Rolling Stock Manager and Maintenance Manager in the daily operation and oversight of the Rolling Stock department. Assists with the management of rolling stock lifecycle, maintenance, and operations. Responds to branch and corporate requests in a timely and professional manner. Develops and maintains outside vendor and service provider relationships. Works with the contracted third-party maintenance provider to help maintain an accurate and reliable fleet. Responsibilities

  • Assists in administrating and coordinating motor vehicle fleet operations. Coordinates processes and documentation required for new asset acquisition, disposal, replacement, asset transfers, title transfers, and tracking of lost or stolen assets. Assist branches with toll violations.
  • Registration renewals, registration corrections, state changes and title changes when applicable.
  • Administer contracted third-party maintenance provider account, order fuel cards, create fuel PIN numbers, terminate fuel pin numbers, and add/delete vehicles from account.
  • Process and submit payment for applicable permits. Manages Vehicle Insurance distribution.
  • Responsible for management, tracking, and reporting On/Off Road CARB Compliance.
  • Verification of Heavy Vehicle use Tax payments on an annual basis or when a new asset is added to the fleet.
  • Audit and reconcile monthly repair and maintenance invoice for company’s rolling stock fleet. This includes Logistics invoicing.
  • Assign new vehicle/equipment numbers and tracking of main asset numbers.
  • Work independently within established procedures associated with the specific job function. Has gained proficiency in multiple competencies relevant to the job.
  • Works with vendors and cross-functional groups to maintain accurate and complete asset data. Ordering of department supplies.
  • Prepares and distributes comprehensive status reports. Management of the Rolling Stock Connect page.
  • Conduct training for branch personnel, Shared Services, and management in the use of contracted third-party maintenance provider account as needed.
  • Create and implement Rolling Stock process improvements by direction of management.
  • Manage all Rolling Stock data acquisition, spreadsheets and communication platforms.
  • Identifies potential areas for cost reduction. Identifying anomalies in fuel consumption and communicating with the vendor and branches to rectify issues.
  • Act as the backup dispatcher. On call every other week for dispatch for after-hour emergencies.
  • Other duties as assigned in support of the operation.
