About The Position

We are seeking an Transportation Support Specialist to join our team in Deland, FL. This Operations Coordinator position provides day‑to-day support for contract administration, financial tracking, and project performance activities. This role assists Project Managers, Division Managers, and pursuit teams by coordinating contract documentation, monitoring financial status, and ensuring compliance with internal processes and client requirements. The Contract Coordinator plays a key role in maintaining accurate records, supporting project financial health, and enabling successful contract execution from proposal through close‑out. Your role Contract Administration: Assist in the preparation, review, routing, and execution of contracts, subcontracts, amendments, NDAs, and related documents. Maintain organized contract files, version control, and documentation archives. Track important contract dates, deliverables, and obligations to ensure compliance. Coordinate with legal, procurement, finance, and project teams to resolve contract-related questions. Project & Financial Support: Support Project Managers with setting up projects into internal programs. This includes budgets, billing structures, labor categories, and funding allocations. Monitor project financial performance metrics such as budgets, burn rates, forecasted costs, and revenue projections. Assist with invoice review and submittals, backup documentation, and ensuring billing accuracy based on contract terms. Help prepare financial reports, dashboards, and monthly project review materials. Pursuit & Proposal Support: Assist pursuit teams with gathering contract-related inputs for proposals, including agreements, certifications, rate schedules, and contract templates. Review solicitations and RFP requirements for administrative and contractual elements. Coordinate forms, compliance documents, and subcontractor agreements for proposals. Help maintain pursuit trackers and documentation repositories. Compliance & Process Coordination: Ensure contracts follow internal approval workflows and delegations of authority. Assist with audits, client requests, and internal compliance reviews. Maintain accurate data in contract management and financial systems. Support continuous process improvement by identifying inefficiencies and recommending solutions. About you Bachelor's degree in Business Administration, plus 7 years' experience. Without a degree, requires 12 years' experience in progressively responsible administrative work. Experience with contract administration, project accounting, financial coordination, or similar roles required. Experience in professional services, engineering, construction, government contracting, or related industries preferred. Proficiency in Microsoft Excel, Word, SharePoint, and contract/project management systems. Strong attention to detail with excellent organizational skills. Ability to interpret basic contract language and understand financial concepts. Strong communication and interpersonal skills for working with cross-functional teams. Ability to manage multiple deadlines and adapt to changing priorities. Problem-solving mindset and comfort working with numbers and data.
