Position Overview: The Union Payroll & Compliance Coordinator supports the payroll department by managing union-related documentation, maintaining accurate Collective Bargaining Agreements (CBAs), updating union wage rates in the payroll system, and assisting with union reporting and audit preparation. This role works closely with payroll leadership to ensure union data is accurate, organized, and audit ready. The position does not independently process payroll.

Requirements

  • High school diploma or equivalent required; associate’s degree preferred.
  • 1-3 years of payroll, union payroll, accounting, or administrative experience preferred.
  • Ability to manage large volumes of data accurately
  • Comfortable working with contracts, rate sheets, and spreadsheets.
  • Must be detail oriented, with excellent written and verbal communication skills.
  • Strong attention to detail, organizational skills, and ability to meet tight deadlines.
  • Proficiency in MS Word, Excel, PowerPoint and Outlook and the ability to learn new software applications and computer programs.
  • Ability to handle confidential information with discretion.

Nice To Haves

  • Experience with COINS ERP payroll module or other construction ERP systems.
  • Experience with union payroll or multi-union environments.

Responsibilities

  • Update and maintain union wage rates, fringes, deductions, and classifications in the payroll system (COINS ERP).
  • Ensure CBAs are current, properly filed, and easily accessible.
  • Track union contract updates, renewals, and wage changes.
  • Ensure union rates are accurate and aligned with current CBAs.
  • Assist payroll leadership with testing and validation of union rate changes.
  • Support correction of rate discrepancies when identified.
  • Assist with data entry and documentation for MEPP and other union-related audits.
  • Maintain organized audit files and documentation.
  • Assist payroll processors with union-related data entry and research.
