About The Position

The Violations Coordinator is responsible for overseeing compliance across a 1,200-home community, ensuring adherence to the governing documents, including Covenants, Conditions, and Restrictions (CC&Rs). This role supports the Community Manager with enforcement and communication tasks, conducting regular inspections, maintaining accurate documentation, and effectively communicating with homeowners regarding violations, processes, and resolutions. This position will require you to drive 80% around the community in a golf cart.

Requirements

  • High school diploma or equivalent required; some college coursework or a degree in a related field is a plus.
  • Minimum of 1-2 years in an HOA, property management, or compliance role preferred.
  • Proficiency with HOA software platforms, Smartwebs, Microsoft Office Suite, and mobile inspection tools.
  • Experience working in a customer service or administrative capacity is highly valued.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Ability to handle conflict resolution and remain calm in high-pressure situations.

Responsibilities

  • Conduct regular inspections of the community (daily, or as directed) to identify violations of the HOA’s governing documents.
  • Utilize HOA management software or mobile applications to document violations with accuracy, including photographs and detailed descriptions.
  • Issue notices of violation, warnings, and follow-up letters in accordance with the HOA’s enforcement policies.
  • Track open violations, deadlines, and resolutions, maintaining up-to-date records.
  • Facilitates and provides support to all committee members during grievance hearings.
  • Serve as the primary point of contact for homeowners regarding compliance questions, violation disputes, and resolutions.
  • Collaborate with the Community Manager to provide updates to the Board of Directors on violation trends and unresolved cases.
  • Prepare and present weekly violation reports for board meetings, summarizing compliance activities and outstanding violations.
  • Suggest improvements to enforcement policies or procedures to enhance community compliance.
  • Maintain and organize records of all correspondence, notices, and homeowner responses.
  • Assist the Community Manager with special projects, community events, or other administrative tasks as needed.
  • Handle violation disputes professionally and with tact, escalating issues to the Community Manager or Board of Directors when necessary.
  • Ensure that all homeowners are treated consistently and fairly within the scope of the HOA’s policies.
