About The Position

York Automotive Group is seeking a detail-oriented Warranty Submission Clerk responsible for the accurate and timely processing of all manufacturer warranty claims. This position ensures complete supporting documentation, compliance with OEM guidelines, and protection of dealership profitability through proper claim administration.

Requirements

  • High school diploma or equivalent required.
  • Strong attention to detail and organizational skills.
  • Working knowledge of OEM warranty systems and dealership DMS.
  • Ability to meet deadlines in a fast-paced environment.

  • Previous dealership warranty administration experience preferred.

Responsibilities

  • Submit warranty claims accurately and in a timely manner according to manufacturer guidelines.
  • Ensure all required supporting documentation is attached and properly stored.
  • Verify technician stories, labor operations, and coding accuracy prior to submission.
  • Monitor claim status and follow up on pending, rejected, or debited claims.
  • Process warranty corrections and resubmissions as necessary.
  • Maintain organized digital and physical warranty documentation files.
  • Communicate claim discrepancies with Service Advisors, Technicians, and Management.
  • Ensure compliance with OEM audit standards and dealership policies.
  • Perform other responsibilities and duties that may not appear in this description.
  • Maintain high claim acceptance rates and minimize chargebacks.
  • Prepare documentation for manufacturer warranty audits.
  • Ensure repair orders meet manufacturer documentation requirements.
  • Track and report warranty receivables and aging balances.
  • Identify trends in claim rejections and recommend process improvements.
  • Submit warranty claims within dealership-established timeframes.
  • Maintain minimal claim rejections and debits.
  • Ensure complete and accurate documentation on every claim.
  • Support overall Service Department profitability and compliance standards.
