About The Position

The Accounts Payable Coordinator, under the supervision of the Controller, performs a variety of accounting, administrative, and logistical support functions. In addition to day-to-day finance, accounting and accounts payable tasks, this position is responsible for creating reports, maintaining files and records, coordinating financial department activities, and serving as a backup processor of key and critical departmental functions.

Requirements

  • Bachelor’s degree in accounting, or relevant combination of education and experience.
  • At least 2 years of similar work experience.
  • Good understanding of accounting terms and concepts, Accounts Payable workflows, financial operations, and related functions.
  • Proficient in MS Office Suite.
  • Proven ability to work with minimal supervision, possess professionalism and self-motivation.
  • Excellent organizational, communication, and collaboration skills. High attention to detail.
  • Ability to work under tight deadlines, multi-task, and be flexible with changing priorities.
  • Previous experience working with an ERP System required – preferably NetSuite.

Nice To Haves

  • Experience and proficiency in Concur preferred.

Responsibilities

  • Processes weekly and urgent payment requests and manage the AP workflow.
  • Reviews, approve and reconcile purchase and P-card requests.
  • Performs monthly journal entries, prepare supporting documentation, and account reconciliations.
  • Maintains vendor relationships, including processing new vendor requests, W-9, providing payment status and re-issuances, and updating vendor account information.
  • Processes transactions related to various financial workflows, including credit card application, disbursements, purchasing and expenses.
  • Performs research and prepare ad hoc reports and analysis.
  • Assists in preparing company registrations, filings, and regulatory reports.
  • Maintains accounting records and files in accordance with retention policies.
  • Prepares and provide supporting documents for auditors.
  • Assists in administration of financial policies including expenses, credit cards and petty cash processing.
