About The Position

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to the COO to support day-to-day operations and executive priorities. This is a critical role that acts as the right hand to the COO , ensuring alignment, efficiency, and execution across multiple departments. This position requires someone who can manage competing priorities, protect executive time, and operate with a high level of ownership and discretion . The ideal candidate is a strong communicator, a problem solver, and a true team player who thrives in a fast-paced environment.

Responsibilities

  • Manage and optimize the COO’s calendar, schedule, and priorities
  • Coordinate travel arrangements, logistics, and itineraries
  • Oversee and manage email, phone calls, and text communication on behalf of the COO
  • Schedule, organize, and coordinate internal and external meetings
  • Prepare the COO for meetings by gathering relevant information, reports, and context
  • Attend meetings, take detailed notes , and ensure follow-up on action items
  • Serve as the COO’s point of coordination across departments and direct reports
  • Support the COO’s direct reports by assisting with communication, organization, and execution needs
  • Organize and coordinate staff events, meetings, and company logistics
  • Assist in generating reports, presentations, and operational updates
  • Act as the COO’s “eyes and ears” —identifying gaps, issues, and opportunities within the organization
  • Help ensure alignment with company goals, priorities, and execution standards
  • Take ownership of special projects and new initiatives as needed
