The Administrative Assistant, a key member of the Group Benefits Underwriting team, is responsible for managing the underwriting mailbox, including monitoring incoming messages, distributing work, and retrieving all enrollment forms and related documentation. This role also involves converting enrollment emails and attachments into PDFs for processing and performing all indexing activities required to support the Underwriting team. As an Administrative Assistant, you'll provide a broad range of administrative support functions, under direct supervision. You will compose internal correspondence, maintain and update office records, gather information for reports and presentations and coordinate calendars for leader(s) and/or team.

Requirements

  • High school diploma or general education degree (GED)
  • Demonstrates strong ability to work independently and to adjust schedule to meet service standards
  • Proven ability to remain focused in fast paced environment

  • Proficient use of computer systems
  • Must possess effective verbal and written communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Knowledge of office practices and procedures.
  • Strong organizational skills for work management.
  • Good communication skills to effectively interact with others.
  • Ability to proofread own work for format and accuracy.
  • Intermediate mathematical skills.
  • Ability to build effective business relationships.

Nice To Haves

  • Previous experience in the insurance industry
  • Administrative professional certification(s) such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) are a plus.
  • Typically, two or more years of related administrative experience preferred.
  • Other criteria, including leadership skills, competencies and experiences may take precedence.

Responsibilities

  • Monitor the underwriting mailbox and ensure incoming enrollment forms are converted and sent to an indexing queue
  • Distribute emails from the underwriting mailbox to appropriate team members/departments
  • Convert enrollment form emails and attachments into a single PDF and upload to the indexing queue
  • Monitor the indexing queue and index all documents based on written procedures
  • Build and maintain relationships with internal partners to improve department performance
  • Focuses on the daily calendar planning. Usually does not manage leader's personal calendar.
  • Coordinates and provides options for travel plans for leader(s) and team.
  • Screens communications for action items and due dates, bringing key items to the leader's attention. Initiates necessary actions, e.g., follow-ups, prioritizations, action required, etc.
  • Provides assistance with office procedures or processes that help the team be more productive and efficient.
  • Monitors expenses, processes expense reports in a timely manner and monitors expense reports submitted by staff for accurate reporting.
  • Performs quality check of invoices/accounts payable. Inputs travel expense and other expenses for payment; reviews and passes to office budget coordinator.
  • Helps other administrative assistants as needed. May provide general office training to new associates.
  • Stays current on Nationwide procedure changes, Human Resources policy changes, business environment, etc. that impact department-level plans.
  • Participates in special projects as assigned.
  • May perform other responsibilities as assigned.
