About The Position

We’re looking for an Administrative Business Manager (ABM) who thrives on organizing people, projects, and processes. In this key operational role, you’ll serve as a central liaison between project execution and business operations, ensuring seamless coordination of scheduling, resources, financials, and reporting. The ABM will partner with both operations and leadership teams to drive timely, on-budget execution while maintaining the highest standards of quality, documentation, and operational transparency.

Requirements

  • 5+ years in accounting or finance, production control, operations coordination, or logistics
  • Strong math skills for cost tracking, job rollups, and invoice verification
  • Proficiency in Microsoft Office
  • Ability to manage competing priorities, support field operations, and lead process discipline
  • Strong analytical and presentation skills
  • Willingness to travel up to 10% across the continental U.S.
  • High school diploma or GED required
  • Valid driver’s license with a clean driving record
  • Must successfully complete a background check and pre-employment/random drug tests
  • Legally authorized to work in the United States

Nice To Haves

  • Experience with construction or field service operations
  • Knowledge of SAGE and CRM tools
  • Bachelor’s degree in engineering, business, or a technical field preferred
  • Familiarity with equipment calibration and preventive maintenance tracking systems
  • Prior involvement with project planning and backlog reporting systems

Responsibilities

  • Oversee project records and financial documentation from order entry through final invoicing to ensure accurate revenue recognition.
  • Coordinate cross-functional handoffs between Sales and Operations to align scheduling, planning, and financial data.
  • Monitor production backlogs, maintain job status logs, and manage monthly accruals for reporting and forecasting.
  • Process material requisitions, track deliveries, and stage materials while controlling usage and minimizing waste.
  • Maintain equipment inventory and oversee preventive maintenance and calibration schedules.
  • Ensure timely submission and review of test reports to support quality assurance and accurate financial reporting.
  • Oversee invoicing accuracy and timeliness to optimize cash flow and revenue realization.
  • Track and analyze job costs, providing actionable financial insights to operations and leadership.
  • Identify process gaps and support continuous improvement initiatives to enhance financial and operational performance.
