About The Position

Positions in this class are characterized by knowledge or skills particular to an area of specialization, process, or program. Work requires specialized knowledge in the processing and application of information, documents and/or materials. The majority of time is allocated to tasks that involve several steps and require the selection of the most appropriate action within procedural and operational guidelines. The range of duties includes, but is not limited to, verifying data, report writing, summarizing and reconciling information or financial data, records management, claims review and processing, data collection and analysis, research, inventory, personnel administration and fund collection or expenditures. The role is different from the Administrative Associate because fewer general office or administrative tasks are performed. Examples of the areas of specialization in this class include, but are not limited to, payroll, student services, accounting, medical records, call center, statistical, and human resources. Located in Black Mountain, NC, Western Correctional Center for Women is a minimum custody facility on a 100+ acre compound that can house up to 366 inmates. This position will provide clerical support to the Administrative Officer I, along with other functions and tasks that involve extensive public and staff contact.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

  • Documented working knowledge of word processing or spreadsheet programs.

Responsibilities

  • Processing Correctional Officer hiring packages.
  • Entering and tracking employee disciplinary investigations.
  • Composing memorandums and letters with limited or no instruction.
  • Proofreading documents for spelling, grammar, and punctuation
  • Providing time administration in the integrated HR-Payroll System.
  • Maintaining and organizing files and records, both hard and electronic copies, and tracking data.
  • Reviewing complicated tasks to ensure accuracy and integrity of information.
  • Working under pressure to meet deadlines for reports and other requirements.
  • Comprehending and abiding by policy and procedures.
  • Interpreting instructions given orally and/or in written form.
  • Preparing New Hire Orientation paperwork and conducting new employee orientations, Vacancy, LOA, position tracking and reports.
  • Maintaining confidentiality and remaining up to date on NC state benefits to help guide new and/or current employees.
