JOB SUMMARY: The AP and General Accounting Specialist is responsible for managing the hotel’s full-cycle accounts payable process and supporting various accounting functions, including Food & Beverage payroll distribution. This role may also assist with general cashiering, petty cash, general ledger postings, guest inquiries, and account reconciliations as needed.

Requirements

  • Associate degree in Accounting or Business preferred.
  • Minimum 2 years of accounts payable experience.
  • Strong analytical, organizational, and multitasking skills.
  • Excellent communication skills; fluency in English required (additional languages a plus).
  • Customer service–oriented with the ability to work in a fast-paced, multicultural environment.
  • Professional appearance and demeanor.
  • Proficiency in Word, Excel, and email communication.
  • Ability to work independently with minimal supervision as well as collaboratively with team members and hotel staff at all levels.

Nice To Haves

  • Experience with Scala and ADACO a plus.
  • Prior hotel accounting experience highly preferred.

Responsibilities

  • Receive and verify a high volume of invoices and requisitions for goods and services.
  • Ensure all transactions comply with established accounting policies and procedures.
  • Review and confirm proper general ledger coding for all invoices.
  • Post invoices for payment and maintain organized files for outstanding items.
  • Use aging reports to determine vendor payments in accordance with credit terms (typically 30 days unless otherwise specified).
  • Prepare and process weekly check runs, ACH payments, and wire transfers.
  • Prepare checks for mailing and maintain digital filing (SCAN) for paid invoices.
  • Transmit daily invoice and payment postings to the general ledger.
  • Reconcile the A/P aging report to the general ledger daily.
  • Create and maintain vendor records in the accounting system.
  • Communicate effectively with vendors and internal managers to resolve inquiries.
  • Ensure compliance with Florida sales and use tax requirements for hotel purchases.
  • Collect and maintain W-9 and 1099 documentation and assist with annual 1099 reporting.
  • Review monthly vendor statements and resolve discrepancies.
  • Reconcile monthly hotel purchasing credit card activity.
  • Maintain capital purchase and deposit account invoicing for the Director of Finance.
  • Assist the Director of Finance with monthly expense review to ensure accurate accruals.
  • Prepare Food & Beverage service charge sheets for payroll processing.
  • Assist with other related project
