About The Position

The AP/Travel & Expense Coordinator plays a crucial role in supporting campus-wide travel operations and expense processing. This position involves managing daily Concur travel and expense activities, assisting with travel bookings, reconciling corporate credit cards, and processing related journal entries. This role requires a detail-oriented and service-driven individual who thrives in a high-volume, customer-facing environment.

Requirements

  • Proven experience with Concur.
  • Strong customer service skills with professional communication abilities.
  • Basic proficiency in Excel, including data copying, pasting, and basic formulas.
  • High attention to detail and the ability to manage recurring transactional work.
  • Collaborative skills to work effectively across departments.

Nice To Haves

  • Experience in a nonprofit or university environment.
  • Familiarity with financial systems is a plus.
  • Prior experience supporting travel, expense, or accounting functions is desirable.

Responsibilities

  • Process daily travel and expense reports in Concur, ensuring accuracy and compliance with policies.
  • Provide comprehensive support for travel needs, including booking flights and hotels, assisting with reservations, and addressing travel-related inquiries.
  • Reconcile monthly corporate credit card transactions and review credit card reconciliations and employee reimbursements.
  • Process and post journal entries related to travel and expense transactions.
  • Perform data entry and transaction processing with basic Excel functions.
  • Interact with employees and vendors to resolve travel and expense issues.
  • Maintain clear documentation and ensure timely processing of all transactions.
