About The Position

This individual will manage IT software purchase and renewal requests, coordinate project activities, initiate requisitions for IT Purchase Orders and Service Orders, and manage requests throughout the Order lifecycle. This role will provide project coordinator and contracting support to the Business Insights & Technology function, facilitating referrals and communications to Legal, Global Procurement, Software Asset Management, Finance, Vendors, and requesters. Duties include: Perform software request, purchase request and contracting activities including contract processing and compliance, purchasing list management, requisition, purchase order, and invoice processing. Create, submit and manage Statements of Work and Statement of Work Amendments in Icertis contracting system. Create, submit and manage requisitions for purchase orders in Ariba in accordance with BMS compliance with federal and state government regulations and internal guidelines. Route software requests and contracts for appropriate processing and approvals, ensuring compliance with BMS policies and procedures. Coordinate and facilitate communications between stakeholders, Legal, Global Procurement, Finance, Service Providers, Project Managers, and Vendors. Provide financial management support including budget planning and input, funds transfers, and actuals tracking through enterprise budgeting systems such as RPM to ensure alignment with departmental spending objectives. Prioritize activities and act based on an understanding of department objectives, stakeholder needs, and policies and procedures for Business Insights & Technology. Perform administrative tasks necessary to support the software request, purchase request and contracting processes. Prioritize and expedite urgent and/or time-sensitive requests requiring immediate or same-day completion to meet critical business needs.

Requirements

  • 2+ years of experience in Finance, Accounting or operations in a pharmaceutical organization.
  • Direct experience in the requisition, purchase order, and invoicing processes, particularly in IT.
  • Direct experience in contract management and/or contract compliance, particularly in IT.
  • Direct experience in IT, software and software procurement.
  • A working knowledge of all information systems and technology relevant to role, including but not limited to ServiceNow, Ariba, SAP, Icertis, RPM, Office 365 (Excel, PowerPoint, Word, OneNote, Outlook, MS Teams), and SharePoint.
  • Attention to detail.
  • Ability to deal with complexity.
  • Strong organizational skills with the ability to prioritize workload and multi-task.
  • The ability to independently perform straightforward analyses and formulate problem-solving approaches for business situations.
  • Strong customer service: able to build relationships, work within a broad network and work effectively in a matrix organization.
  • Proven experience managing and responding to multiple priorities and shifting demands while maintaining a sense of urgency.
  • Strong interpersonal skills, a positive work attitude, and a collaborative approach with other employees across a domestic and international environment, and with all levels of management internally and externally.
  • Proven ability to handle sensitive information with an appropriate degree of confidentiality, discretion, good judgment, and a professional demeanor.
  • Demonstrate ability to learn new tools/systems quickly.
