About The Position

Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire a Billing Coordinator. Under minimal supervision, the Firm Billing Coordinator supports the billing function on a firm-wide basis. This role is responsible for ensuring the accurate and timely preparation of client bills for assigned clients and matters, and to support the partners with managing their client inventories. This includes oversight to ensure the matter setup, rates, billing requirements (including eBilling, as appropriate), and client-required reporting is correct. This position works directly with the Partners managing all aspects of billing and monitoring unbilled and accounts receivable balances. Regular activities include setup and prebill review, coordinating billing and following up with clients to check on payment progress/eBill status. This position will also contact new clients, with approval from the responsible partner, to pro-actively manage billing setups. This position will reside in the Los Angeles office with a hybrid in-office/remote working schedule.

Requirements

  • Bachelor’s degree from an accredited four-year college or university, or an equivalent combination of education and experience.
  • Minimum of five (5) years of experience with 3E or Elite billing systems.
  • Experience with electronic billing, including use of the e-Billing Hub and various eBilling vendor platforms.
  • Proficiency in Microsoft Outlook, Word, Excel, and PDF software.
  • Highly detail-oriented, organized, and equipped with strong customer service skills.

Responsibilities

  • Support Partners by managing all aspects of billing for assigned clients and matters.
  • Review matter setup to ensure compliance with rate agreements and outside counsel guidelines.
  • Facilitate setup and reporting for budgets, alternative fee arrangements, and accrual requests, with support from Firm Finance for more complex reporting.
  • Review time entries in accordance with client and matter requirements (e.g., block billing, task codes, summer associate time) and ensure cost entries are compliant; escalate any issues to Partners.
  • Submit new timekeeper approvals for e-billed clients and communicate with clients regarding new matters or eBilling system requirements.
  • Complete billing for all assigned clients, ensuring successful invoice submission through appropriate eBilling vendor systems.
  • Monitor eBilling submissions and resolve any invoice rejections.
  • Follow up with clients on past-due receivables and collaborate with the Collections team to address outstanding issues.
  • Review monthly reports to identify overdue billing or collections and ensure all current proformas are generated.
  • Distribute month-end proformas to appropriate Partners.
  • Communicate with new clients to review billing and payment procedures and coordinate any special requirements.
  • Proactively engage with newly assigned Partners to review client agreements, rate setups, billing procedures, and ensure all necessary billing structures are in place.
  • Exercise sound judgment and professionalism when handling Partner requests and interacting with team members and senior management.
  • Maintain strict confidentiality of all financial and systems-related information.
