About The Position

The Business Operations Specialist is a thought partner in the citywide strategy to improve the capacity of childcare programs to provide quality childcare for low/moderate-income families in San Francisco. In this role, the Business Operations Specialist establishes and maintains relationships with a diverse group of early childhood education providers to administer workforce compensation funding to ELS-approved sites, ensuring accurate calculations and timely processing, tracking, and reporting of payments. They are responsible for providing comprehensive data system support to promote the workforce’s adoption and utilization of city-wide databases. In addition, they also take responsibility for ensuring the integrity of data collected, entered, and reported for the program.

Requirements

  • Strong analytical and systems-improvement skills; ability to think creatively to determine information required for evaluation and analysis of program data.
  • Intermediate computer skills and knowledge of database applications; intermediate proficiency in MS Office, specifically Excel.
  • Ability to work independently, adhere to priorities and meet multiple deadlines.
  • Excellent skills in working with a diverse population of staff and community.
  • Excellent verbal and written communication skills and ability to support a non-technical audience.
  • Customer-service oriented with a problem-solving mindset.
  • A background clearance is required.

Responsibilities

  • Process necessary documentation, issue timely and accurate payments to childcare providers, follow up with providers regarding reporting needs.
  • Maintain data system expertise in CC3, the ECE Workforce Registry, and other relevant data systems.
  • Consult with and provide regular feedback to system administrators based on experience and compiled user feedback, in the development and management of applicable databases.
  • Maintain client information and data in SharePoint.
  • Collaborate with Finance staff to deliver payments.
  • Continually seek ways to improve payment processes and improve communication and accuracy of data submitted by childcare programs.
  • Coordinate with other departments to track, compare and evaluate data across systems, including Early Learning SF, CC3/CC4, Minute Menu or other relevant data systems.
  • Collect and track data for reports to funders and other city agencies.
  • Work as a team to design, adapt and review forms.
  • Refer providers (as appropriate) to other organizational departments, city, county or agency childcare programs and services.
  • Deliver high quality customer service and support through Zen Desk.
  • Regularly assess accuracy of payments.
  • Maintain provider payment and program information for audits and informational purposes.
  • Attend meetings related to city childcare issues, service delivery and staff development.
  • Work in collaboration with other agency staff on projects and events.
  • Other related duties as assigned.
