About The Position

The Claims & Office Administrator plays a vital role within NearU’s Branch Services Center by ensuring smooth day-to-day office operations while managing the full lifecycle of Workers’ Compensation, General Liability, and Automotive claims across the organization. This position provides consistent administrative and claims support to branch teams, helping deliver timely, accurate, and reliable service. This role is critical to supporting NearU’s safety culture, strengthening trust with branches, and reinforcing systems and processes that help ensure every employee goes home safe each day.

Requirements

  • Minimum of 2 years of experience in claims processing.
  • Minimum of 2 years of experience in office administration or a related operational role.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills with a professional, service-oriented approach.
  • Ability to navigate multiple systems, portals, and structured processes with accuracy.
  • Strong problem-solving skills and the ability to work independently while aligning with Branch Services Center and Administrative team priorities.
  • Proficiency in Microsoft Office, including analytical and presentation development skills.

Nice To Haves

  • Experience in construction trades, insurance, safety, or compliance environments.
  • Prior experience supporting distributed teams or multi-location operations.

Responsibilities

  • Partner closely with Human Resources to manage Workers’ Compensation claims, ensuring accurate documentation, timely follow-up, and clear communication with all stakeholders.
  • Own the full claims lifecycle for Workers’ Compensation, Automotive, and General Liability claims.
  • Independently lead monthly claims review calls to support claim resolution and expedite closures.
  • Serve as a subject matter resource for branches by providing practical guidance on claims procedures and best practices.
  • Identify opportunities to improve workflows, enhance consistency, and strengthen claims processes across the organization.
  • Prepare and deliver weekly and quarterly claims reporting.
  • Conduct follow-up calls to address branch concerns and support partners with a professional, solutions-focused approach.
  • Serve as the first point of contact for employees, vendors, and visitors, delivering friendly and professional customer service aligned with the NearU culture.
  • Manage daily office operations, including mail and package handling, supply ordering, workspace organization, and vendor coordination for the BSC.
  • Support onboarding and offboarding processes, including badge creation and coordination with HR and IT.
  • Monitor office equipment and coordinate repairs or service requests as needed.
  • Assist with the planning and execution of BSC and NearU-wide events and meetings (All-Hands, leadership meetings, cross-functional workshops), including logistics, materials preparation, and communications.
  • Support team initiatives through content collection, development, and editing.
