About The Position

The Creative Production Coordinator works closely with Creative Producers, cross-functional teams, and external vendors to ensure seamless execution across all phases of production. This role manages schedules, budgets, logistics, travel, documentation, and on-set coordination while maintaining clear communication across teams. A strong problem-solver, this individual anticipates challenges, navigates shifting priorities, and supports real-time solutions to keep productions running efficiently in a fast-paced, high-volume environment. Equal parts operational and collaborative, the position plays a critical role in upholding ALO’s high production standards and ensuring accuracy and consistency across every project. This position reports to the Senior Creative Producer.

Requirements

  • 1–3 years of experience at an agency, studio, production company, or fashion/lifestyle brand
  • Strong understanding of production workflows from pre- through post-production
  • Proficiency in MS Office, Adobe Creative Suite, and Asana
  • Clear, professional communicator with a collaborative and solutions-oriented mindset
  • Exceptional organization, attention to detail, and time management skills
  • Ability to manage multiple projects simultaneously under tight deadlines
  • Proactive, adaptable, and resourceful in a fast-paced, high-volume environment
  • Valid driver’s license and ability to lift up to 50 lbs

Responsibilities

  • Support development and tracking of shoot schedules and budgets
  • Research, secure, and manage holds for photographers, models, freelance crew, and locations
  • Coordinate travel and maintain detailed itineraries
  • Create and distribute call sheets and production documents
  • Oversee catering and on-set logistics
  • Coordinate transportation of wardrobe, props, equipment, and production materials
  • Attend studio and location shoots as needed
  • Maintain organized contracts, releases, insurance, and production files
  • Process invoices, reconcile expenses, and ensure timely billing post-shoot
  • Track and update budget sheets accurately
  • Maintain up-to-date crew and talent databases
  • Ensure studios, production kits, and supplies remain organized and production-ready
  • Communicate evolving shoot details clearly to internal and external partners
  • Anticipate challenges and problem-solve proactively
  • Build and maintain strong relationships with trusted production vendors
