About The Position

San Diego State University is seeking a reliable and detail-oriented Department Assistant Coordinator to serve as the front-line contact for a busy academic department. This role supports both the administrative and instructional needs of the department, ensuring efficient daily operations, faculty support, and student engagement.

Requirements

  • Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures.
  • Incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing.
  • The ability to use and quickly lean new office support technology systems and software packages is also a prerequisite.
  • These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
  • Experience working in an office setting.
  • Experience with Microsoft Office suite.
  • Experience with Google suite.
  • Ability to handle effectively a broader range of interpersonal contacts with students, faculty and staff from underrepresented groups.

Nice To Haves

  • Scheduling experience preferred.

Responsibilities

  • Manage front-desk reception, phone and email communications, mail distribution, office equipment training, key distribution, procurement, and support for departmental events and administrative tasks.
  • Assist students with course and scheduling inquiries
  • Support faculty with instructional materials, document preparation, and file management
  • Aid graduate advisors and help build semester course schedules.
