About The Position

Pathways to Life, Inc. is seeking a highly organized and professional Executive Assistant to provide direct administrative support to the Chief Executive Officer. This position plays a critical role in managing the daily operations of the CEO’s office, coordinating executive communications, and ensuring the CEO’s time and priorities are effectively supported. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities while maintaining strict confidentiality. This role requires strong communication skills, professionalism, and the ability to work independently in a fast-paced environment.

Requirements

  • Bachelor’s degree in Business Administration, Healthcare Administration, Public Administration, or a related field preferred.
  • Minimum of 3 to 5 years of executive administrative support experience, preferably supporting a Chief Executive Officer or senior executive.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain strict confidentiality with sensitive information.
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency with Microsoft Office or Google Workspace platforms.
  • Ability to work independently while supporting executive leadership priorities.

Nice To Haves

  • Experience working in healthcare, behavioral health, or nonprofit organizations is preferred.

Responsibilities

  • Manage and coordinate the CEO’s calendar, appointments, and meeting schedule to ensure alignment with organizational priorities.
  • Screen, prioritize, and manage communications directed to the CEO, including emails, calls, and correspondence.
  • Prepare reports, presentations, briefing materials, and executive correspondence for the CEO.
  • Coordinate travel arrangements and itineraries for the CEO as needed.
  • Prepare meeting agendas and materials to ensure the CEO is well prepared for meetings.
  • Maintain accurate records and documentation related to meetings and executive activities.
  • Track action items and follow-up tasks resulting from CEO meetings.
  • Maintain organized executive filing systems and documentation.
  • Track deadlines, deliverables, and commitments assigned to the CEO.
  • Provide administrative coordination for special projects and initiatives led by the CEO.
