SUMMARY: The Transportation Operations Executive Assistant provides high-level operational, administrative, and strategic support to the Assistant Director of Transportation – Bus Operations. This role is designed to enhance leadership effectiveness by managing priorities, tracking operational initiatives, and ensuring execution across a fast-paced, 24/7 transit environment. Unlike a traditional administrative role, this position operates as a coordinator of operational priorities—supporting performance tracking, cross-functional communication, and follow-through on key initiatives across Bus Operations, Customer Service, and related departments. The Executive Assistant plays a critical role in maintaining organizational discipline by ensuring projects, action items, and performance commitments are documented, monitored, and advanced. This role requires strong judgment, discretion, and the ability to operate independently in a high-accountability, operationally complex environment.

Requirements

  • Bachelor’s degree preferred; relevant experience may be substituted.
  • 3–5 years of experience supporting senior leadership, preferably in operations, transportation, logistics, or a similarly fast-paced environment.
  • Strong organizational and prioritization skills in a high-volume, deadline-driven environment.
  • Ability to manage multiple initiatives simultaneously and drive follow-through without constant direction.
  • High level of discretion and professionalism when handling sensitive information.
  • Strong written and verbal communication skills, including drafting executive-level communications.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to synthesize information, identify gaps, and escalate issues appropriately.
  • Comfortable operating in a dynamic environment with shifting priorities, including off-hours coordination when necessary.
  • Strong interpersonal skills with the ability to work across all levels of the organization, including frontline and executive leadership.
