The office manager position is responsible for overall front office activities, including the reception area, mail, office purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, to ensure organizational effectiveness and efficiency. Responsible for arranging internal office moves and providing arrangements for office meetings.

Requirements

  • Bachelor’s Degree and 3 years Administrative Assistance experience; or 5 years Administrative experience
  • Strong PC skills in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.

Nice To Haves

  • HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus

Responsibilities

  • Supervises and coordinates overall administrative activities for the Office Administration Department.
  • Maintain the efficiency and good working conditions of all TAS facilities.
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
  • Manage the negotiations of new and the maintenance of existing vendor and supplier contracts. (i.e. cleaning crews, landscape, recycling, pest control, small tenant finish projects, utility providers etc…)
  • Supervises the maintenance of office equipment, including copier, fax machine, etc. Responsible for the facilities day-to-day operations and security access.
  • Responsible for Sales Leader support providing a high-level of administrative support by conducting research, preparing statistical reports, handling information requests and confidential matters.
  • Perform administrative functions such as preparing internal and external correspondence, preparing presentations, receiving visitors, arranging conference calls, scheduling meetings and handling travel.
  • Participates as needed in special department projects to multi-task.
  • The ability to prioritize and strong organizational and time management skills are essential.
  • Experienced in customer service, enjoy working both independently and in a fast-paced sales team environment.
  • Performs other duties as assigned.
  • Flexibility to work weekends, as required.
