Job Summary: The Facilities & Mail Room Coordinator ensures smooth daily operations of both workplace facilities and mailroom services.

Requirements

  • Strong organizational and communication skills.
  • Experience in facilities management, office administration, or mailroom operations preferred.
  • Ability to multitask and manage competing priorities.
  • Attention to detail and accuracy in handling mail and packages.
  • Ability to lift and move packages as required.
  • Proficiency in Microsoft Office.

Responsibilities

  • Oversee daily facility operations, including office maintenance, repairs, and service requests.
  • Support space planning, office moves, workstation assignments, and layout adjustments.
  • Monitor inventory of supplies and equipment, ensuring timely replenishment.
  • Assist with health, safety, and emergency preparedness procedures.
  • Manage receipt, sorting, and distribution of incoming mail and packages.
  • Prepare and process outgoing mail, including courier and shipping services.
  • Maintain accurate logs of deliveries and shipments, ensuring confidentiality and compliance with postal regulations.
  • Coordinate with carriers and vendors to resolve delivery issues.
  • Support inventory management of mailing supplies (envelopes, labels, postage).
  • Provide customer service to employees regarding facilities and mailroom inquiries.
