About The Position

Florida’s Newborn Screening (NBS) Program screens newborns for certain conditions and provides for early identification, management, and follow-up for those affected. Early detection and treatment of health issues help babies grow up healthier, making this program a vital part of the standard of care for all infants. The Continuous Quality Improvement (CQI) Unit plays a critical role in managing the NBS unsatisfactory specimen caseload, overseeing the program’s data system, benchmark enforcement, quality improvement activities, supporting strategic marketing initiatives and much more.  The Unsatisfactory Specimens Caseload Coordinator is responsible for conducting follow-up activities related to the Newborn Screening unsatisfactory specimen caseload and serves as the liaison between the NBS Program and the Office of Minority Health (OMH) in matters relating to their Sickle Cell Registry. This position reports to the Supervisor of the Continuous Quality Improvement (CQI) Unit within the NBS Follow-up Program.

Requirements

  • This position will require knowledge, skills and abilities (KSA), including:
  • Utilization of equipment and software required for the position, including the newborn screening data system, Microsoft Outlook, Excel, and Word.
  • Ability to work independently and in a group setting.
  • Ability to manage caseloads and maintain accurate records in a timely manner.
  • Experience handling and disseminating medical information in a professional and confidential manner.
  • Ability to handle incoming phone calls and answer questions in a professional and courteous manner.
  • Ability to communicate verbally and in writing using proper grammar and sentence structure.
  • Ability to adhere to workplace etiquette.
  • Ability to read, understand and apply applicable rules, regulations, policies, and procedures.
  • Ability to adapt to changing priorities and maintain attention to detail.
  • Ability to organize data into logical format for presentation in reports, documents, and other written materials.
  • Ability to utilize problem-solving techniques.
  • Currently employed by a Florida agency in the State Personnel System.
  • A minimum of two (2) years' experience working in a hospital, physician’s office, medical facility, and/or public health office answering office phones and providing detailed healthcare related information to clients.
  • A minimum of two (2) years' experience working with data system software outside of Microsoft Suite.
  • Experience utilizing basic functions of Microsoft Outlook, Excel, and Word.

Responsibilities

  • Manages the newborn screening unsatisfactory specimen caseload which includes: Searching the data system for repeat specimens.
  • Linking specimens.
  • Sending out letters when appropriate.
  • Calling healthcare providers to confirm patient demographic information.
  • Contacting families for repeat specimens and closing cases.
  • Serves as the liaison between the NBS Program and the Office of Minority Health (OMH) in matters relating to their Sickle Cell Registry as outlined in s.383.147 F.S. This includes, but is not limited to:
  • Monthly sickle cell reporting.
  • Ensure sickle cell registry letters and other notifications are sent at the appropriate time.
  • Review all sickle cell data and ensure each opt-out request is accounted for prior to submission.
  • Manages and supports the Florida Newborn Screening Results (FNSR) website.
  • Responsible for coordination of the Florida Genetics and Newborn Screening Advisory Council (GNSAC) meetings and provide oversight of all council-related activities such as scheduling, public notices, appointments, travel, meeting minutes, reporting, related workgroups, and all required materials.
  • Compiles and validates a variety of reports. These reports include but are not limited to:
  • Monthly and quarterly QI reports.
  • CCHD statistics reports.
  • Monthly Bureau of Public Health Laboratory reports.
  • NBS annual statistics.
