Requirements

  • Previous experience in an administrative or coordination role, preferably within the travel or hospitality industry.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office and booking/CRM systems.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Flexibility to occasionally work outside normal office hours to support group visits.

Nice To Haves

  • Experience working with affiliate partners or organizations.
  • Familiarity with group travel logistics or event management.

Responsibilities

  • Coordinate and organize group visits, including scheduling, logistics, and documentation.
  • Serve as a point of contact for groups, affiliates, partner organizations, and other stakeholders.
  • Maintain accurate records of group bookings, itineraries, and correspondence.
  • Support the team by answering phone calls and emails, and preparing group manifests.
  • Assist with follow-up communications, and feedback collection.
  • Provide administrative support such as filing, data entry, invoice processing, and answering questions
  • Ensure all group activities comply with company policies and relevant regulations.
