About The Position

The Inside Material Administrator is responsible for processing all financial transactions related to the material team, managing inventory transactions, and overseeing non-conformance reviews. This role involves meticulous attention to detail, effective communication with suppliers and internal teams, and the ability to maintain organized inventory records. The position requires proficiency in Oracle and Microsoft Excel, as well as strong critical thinking skills to resolve inventory and transactional discrepancies.

Requirements

  • Ability to self-validate work completion and work independently with minimal supervision.
  • Strong critical thinking skills to resolve complex inventory and transactional issues.
  • Proficiency in Oracle or ability and willingness to learn Oracle quickly.
  • Extensive experience with Microsoft Excel and Outlook for data analysis and communication purposes.
  • Excellent organizational skills with a keen attention to detail.
  • Effective communication skills to interact with suppliers and internal stakeholders.
  • Ability to receive coaching and feedback for continuous improvement.
  • High school diploma or equivalent required; additional education or certification in business administration or a related field preferred.
  • Proven experience in administrative roles, preferably in a manufacturing or supply chain environment.
  • Familiarity with inventory management and financial transaction processing.

Responsibilities

  • Process all financial transactions for the material team, including material receipts, work order completions, and OSP purchase order receipts.
  • Manage inventory transactions, ensuring both physical and virtual inventory is organized and accurate. Correct any erroneous transactions and maintain transaction history.
  • Conduct non-conformance reviews, obtaining Corrective and Preventive Actions (CCAs) from suppliers, and collaborate with engineering and quality teams to resolve issues.
  • Communicate effectively with suppliers and multiple campuses regarding issues, freight, returns, and missing documents or data.
  • Validate work completion independently, demonstrating self-motivation in an offsite location without daily managerial oversight.
  • Utilize Oracle for transaction processing and reporting; willingness to learn and adapt to new systems and tools as necessary.
  • Maintain meticulous documentation practices, scanning and saving all relevant paperwork for server retention.
  • Participate in month-end activities, dedicating approximately 2 hours over weekends as needed.
