SUMMARY Responsible for all tasks related to Fleet inventory including sourcing, negotiating price, purchasing, stocking and issuing repair parts, service equipment, personal protective equipment, general supplies and batteries. Utilizes Fleet Maintenance software to track all equipment, inventory and repair activities. Responsible for maintaining accurate records and distributing accurate reports related to inventory, vehicle fuel usage and maintenance records for specific location. Follows established procedures related to generating purchase orders, work orders, vehicle fuel usage reports, vehicle mileage reports and all other activities in support of business line objectives. Delivers Five Diamond Service to all internal and external customers.

Requirements

  • High School Diploma or GED is required.
  • A minimum of 2+ years' experience in shipping / receiving and purchasing experience is necessary.
  • Computer literacy skills including the ability to perform data entry using a scanning device or manual keyboard is required.
  • Must have basic math skills such as addition, subtraction, multiplication and division.
  • Experience with Microsoft Office applications is necessary, including the ability to create reports using Excel.
  • Responsible for monthly inventory cycle counts and inventory reconciliation.
  • Ability to perform detailed oriented work and maintain a high level of accuracy.
  • Good communication, customer service skills, with the ability to multi-task is required.

Nice To Haves

  • Experience in an automotive environment and automotive parts are preferred.

Responsibilities

  • Coordinates the daily purchasing activities for the Fleet (Roadside Assistance) ensuring cost-effective expenditures.
  • Creates requisitions for business line, ensures appropriate authorization, assigns purchase order numbers and processes with appropriate vendor, verifies receipt of supplies by matching the requisition, invoice, and packing slip.
  • Maintains an accurate vendor database and shares vendor information with the Finance department to ensure the integrity of the Club’s vendor database.
  • Responsible for identifying sources for standard and nonstandard parts equipment and supplies
  • Responsible for requisitioning batteries, repair parts, fleet technician and repair shop staff supplies and parts, towing and service equipment for new and existing vehicles, shop tools, and other items needed to maintain the Fleet operation.
  • Follow through to resolve any discrepancies with vendors for billing or invoices, including back orders, damages or receiving discrepancies.
  • Manages core part returns.
  • Ensure adequate inventory level of automotive batteries utilized for department utilization, recommending and making adjustments as necessary.
  • Serialize batteries as they are received and ensure that expired batteries are rotated as necessary.
  • Responsible for recording sales, warranties, rotates and transfers of batteries.
  • Reports on monthly battery sales, warranties and rotates, reconciling with the POS system.
  • Maintains accuracy of the inventory by scanning or manually entering all supplies received into the Fleet Maintenance Software at the time of receipt and issue.
  • Performs cycle counts and reconciles physical inventory to actual quantities on hand and notifies managers of any discrepancies.
  • Creates, modifies and completes work orders for the repair of all vehicles operated by the Fleet, Driving School and other departments.
  • Ensure that work orders are issued to mechanics and are properly completed to capture all required information including repair parts and labor hours required to complete the repair.
  • Verifies the accuracy of daily automated fuel usage uploads into the Fleet Maintenance Software program for all fleet vehicles.
  • Maintains service contracts for maintenance equipment; ensures routine maintenance is conducted according to contract agreements; contacts servicing vendors to repair malfunctioning maintenance equipment in the Fleet.
  • Ensures that software licenses for maintenance equipment are renewed when necessary and updates are performed when they are received.
  • Creates and distributes all daily, weekly, and monthly inventory, maintenance and vehicle reports.
  • Delivers AAA Five Diamond customer services standards at all times to all internal and external customers.
