Requirements

  • Paralegal Certification, Legal Studies, or related field
  • 5 or more years of progressively responsible administrative experience, preferably at least 5 years supporting an in-house legal department or law firm
  • Strong understanding of legal terminology, documents, and corporate processes
  • Exceptional written and verbal communication skills
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience with contract management systems, e-billing platforms, or legal document management software
  • Excellent organizational skills and attention to detail
  • Ability to prioritize multiple projects and meet tight deadlines
  • High level of discretion, professionalism, and sound judgment

Responsibilities

  • Provide administrative support to attorneys and legal staff, including managing calendars, scheduling meetings, hearings, and tracking deadlines.
  • Prepare, format, and proofread legal documents, reports, presentations, and correspondence.
  • Maintain and organize case files, corporate records, and legal documentation (electronic and physical).
  • Coordinate court filings, e-filing, contract review processes, and monitor key deadlines such as renewals, compliance filings, and litigation timelines.
  • Communicate with clients, courts, vendors, and outside counsel as needed.
  • Assist with billing, invoice processing, legal spend tracking, and expense reports.
  • Support compliance, audit, corporate governance, and risk management initiatives.
  • Oversee general office operations including supplies, equipment maintenance, vendor coordination, and office organization.
  • Assist with meetings, office events, and special projects while maintaining discretion with sensitive information.
  • Provide guidance to junior administrative staff and support onboarding/offboarding processes.
