Overview: The Legal Operations Administrator supports the Credit Union’s Compliance and Legal department all aspects of case referrals, case tracking, invoice monitoring, general legal office tasks and vendor management review with a focus on optimizing the efficiency of the optimizes the efficiency of a legal department by managing technology, data, budgets, and vendors

Requirements

  • High School diploma or GED required
  • 3+ years of experience in a legal case management role, litigation support role, legal operations role or similar role that requires knowledge of the legal process
  • At least 2 years working in financial services or similar industry
  • Proven ability to work with highly confidential information and the ability to function as an integral part of the departmental team
  • Ability to make thorough and comprehensive business decisions, weighing cost, risk and other relevant factors
  • Strong analytical skills and attention to detail
  • Strong interpersonal skills for cross-functional collaboration.
  • Ability to work successfully with minimal supervision and possess a high stress tolerance
  • Must be able to multitask and meet deadlines, often with frequent interruptions
  • Very strong technical skills in Word, Excel and PowerPoint

Nice To Haves

  • Bachelors degree in business administration, legal studies or related subject preferred
  • Experience making business decisions on behalf of a financial institution preferred

Responsibilities

  • Provide operational and basic analytical support to the department across processes, data and technology, and business legal activities
  • Perform case analyses prior to referral to outside counsel
  • Identify and implement process and system improvements that enhance efficiency, service quality, and the department’s ability to support and reduce risk and costs to the Company
  • Evaluates opportunities to improve operational efficiencies in regards to legal technology, data, budgets and vendors
  • Coordinate Legal Operations functions, including managing internal legal response and follow-up on status requests, and general inhouse inquiries
  • Monitors budgets, tracks legal spend, and manages coordination and communication with outside counsel building and maintaining positive relationships
  • Serve as the liaison for external counsel and legal partners, managing legal documentation, and ensuring compliance across contracts
  • Perform litigation and case management tracking
  • Manage the end-to-end lifecycle of legal orders, including subpoenas, freeze orders, and deceased account notifications
  • Review invoices from law firms and other legal vendors for approval
  • Support the legal department in preparing documents, reports, and member responses
  • Assist with vendor due diligence and law firm reviews when needed
  • Stay updated on regulations, industry trends, and data and digital resources
