About The Position

Under the direction of the Municipal Court Administrator, the Deputy Clerk of Court supports and assists in the daily administrative and clerical operations oversight of the Municipal Court. This position is responsible for coordinating case processing activities, preparing court dockets and legal documents, maintaining accurate records, and ensuring timely data entry and reporting in accordance with established laws and procedures. The Deputy Clerk of Court serves as a secondary point of contact for court personnel, attorneys, law enforcement, and the public, providing guidance, responding to inquiries, and ensuring efficient court scheduling and communication. The role monitors financial transactions, case statuses, and compliance with court directives while maintaining strict confidentiality of sensitive information. This position exercises independent judgment, supports court operations in the absence of the Clerk of Court, and assists in directing workflow to ensure the effective and orderly administration of the court. Requirements

  • Associate degree from an accredited College or University required
  • Minimum of four (4) years of professional office, clerical, or administrative support experience required; prior experience in a legal or court environment is preferred
  • Familiarity with legal terminology and court procedures is desired
  • Must possess a satisfactory criminal history and meet all requirements for secure access to law enforcement databases
  • Must be eligible for access to Georgia Crime Information Center (GCIC) and National Crime Information Center (NCIC) systems
  • Must be available to work a full-time schedule (40 hours per week), including court sessions as scheduled, may work an adjusted schedule for assisting in events occurring after 4:30 p.m. such as meetings or planned events
  • Maintains required certifications and attends Institute of Continuing Judicial Education (ICJE) training and other relevant professional development opportunities
  • Ability to obtain GCIC Certification within 30 days of hire
  • Ability to obtain Notary Public Commission within 30 days of hire
  • Ability to attain Certified Court Clerk designation upon successful completion of the working test period

Nice To Haves

  • Bachelor’s degree in Legal Studies, Criminal Justice, Public Administration, or a closely related field
  • Has GCIC Certification
  • Bilingual fluency in English and Spanish is highly desirable and considered a strong asset in serving the community

Responsibilities

  • Provides advanced clerical and operational support to Municipal Court functions, including coordination of pre-court, court, and post-court activities.
  • Oversees preparation and maintenance of court dockets, including scheduling and coordination of court calendars.
  • Ensures timely notification of court dates to officers, defendants, attorneys, and witnesses; provides detailed case-related information to the public.
  • Reviews and processes citations for accuracy and completeness; ensures proper entry into the case management system and readiness for court proceedings.
  • Coordinates retrieval of driver histories, criminal histories, and prior convictions; ensures all supporting documentation is prepared in advance of court.
  • Monitors and utilizes GCIC/NCIC systems for inquiries related to warrants, licenses, and criminal records; ensures compliance with system protocols and security requirements.
  • Prepares courtroom and ensures all necessary documentation, case files, and materials are organized and available for court sessions.
  • Assists and supports the Judge during court proceedings, ensuring efficient case flow and adherence to court procedures.
  • Oversees courtroom operations during arraignments, trials, bond hearings, and probation revocations.
  • Accurately records court proceedings, including pleas, dispositions, continuances, and case transfers.
  • Prepares and processes sentencing documentation, court orders, diversion program paperwork, and release documents as directed by the Judge.
  • Coordinates scheduling of follow-up court dates, motions, and trials in alignment with judicial and law enforcement availability.
  • Reviews and finalizes case dispositions; ensures timely and accurate reporting to the Department of Driver Services (DDS) and Georgia Crime Information Center (GCIC).
  • Processes legal motions, failure-to-appear cases, and related enforcement actions; generates required notices and correspondence.
  • Prepares and issues official court documents, including warrants, letters, and legal notifications.
  • Ensures accuracy, completeness, and proper filing of all court records in accordance with legal and procedural requirements.
  • Serves as a senior point of contact for public inquiries; conducts detailed research and provides guidance in accordance with court policies and procedures.
  • Coordinates with police, records, treasury, probation, and other departments to resolve case issues and ensure efficient court operations.
  • Provides guidance and support to clerical staff; assists with training and ensuring adherence to established procedures.
  • Monitors and compiles court-related data and statistics; prepares reports to support court operations and decision-making.
  • Reviews clerical work for accuracy and completeness; assists in identifying process improvements and workflow efficiencies.
  • Performs other related duties as assigned, consistent with the overall purpose and responsibilities of the position. This includes performing the duties of the Clerk of Court in the Clerk’s absence and assisting the Judge and court personnel as needed.
  • The omission of specific statements of duties does not preclude the assignment of tasks that are similar in nature, logically associated with this role, or necessary for the effective functioning of the Municipal Court. Flexibility and adaptability are essential, as the Municipal Court Clerk may be required to support a wide range of administrative and operational needs as they arise.
