About The Position

Join our dedicated outpatient team as an Administrative Coordinator, where you will provide essential administrative and coordination support to our patients and physicians in the outpatient and interventional psychiatry departments. Your role will be vital in ensuring smooth operations and an exceptional experience for both patients and the healthcare team.

Requirements

  • Minimum of 3 years of clinic or hospital experience.
  • Proven ability to juggle multiple tasks, adjust to changing schedules, and meet deadlines efficiently.
  • Capable of working independently or as part of a team.
  • Detail-oriented and highly organized with strong time-management skills.
  • Demonstrates compassion, professionalism, and confidentiality when interacting with patients.
  • Experience with telecommunication hardware/software and proficient in Outlook, Microsoft Office, and web browsers.
  • Strong written and verbal English communication skills. Excellent interpersonal and organizational abilities.
  • High level of typing accuracy and attention to detail.
  • Able to handle confidential information and maintain professional boundaries.
  • Must maintain a professional attitude and attire at all times.

Nice To Haves

  • 2+ years of experience in insurance verification.
  • 3+ years working in a medical office.
  • Familiarity with medical office software and systems.

Responsibilities

  • Answer and direct incoming calls to appropriate team members and departments, ensuring effective communication with patients and healthcare providers.
  • Respond to new outpatient service inquiries, screen and register patients, and schedule initial consultations for new patients.
  • Maintain and manage provider schedules, ensuring timely patient appointments.
  • Process prescription refills for provider review.
  • Collect and process patient balances, including copays, deductibles, and co-insurance.
  • Prepare necessary financial paperwork for treatments.
  • Regularly update and maintain patient demographics and insurance information in the system.
  • Verify mental health benefits and secure insurance authorizations as necessary, including for treatments and prescriptions.
  • Review voicemails and emails from patients, providers, and insurance representatives.
  • Ensure all required paperwork is completed and entered into the EMR system.
  • Assist the team with administrative tasks, including preparing monthly reports and providing support for Supervisor/Manager as needed.
  • Contribute to team training, share knowledge, and help streamline processes for continuous improvement.
  • Support the Manager with mid-month and end-of-month reports.
  • Perform other duties as assigned to ensure the efficient functioning of the department.
