There is not an option for hybrid or remote schedules. Position Overview The Print & Mail Specialist supports a high-volume, fast-paced production environment that blends traditional print services with publications processing, data entry, scanning workflows, and mail operations projects . This role requires a multi-functional skill set , including the ability to manage survey processing workflows, perform accurate data entry, and support document lifecycle processes from intake through final output and storage.

Requirements

  • 5+ years of experience in a production, administrative, or document processing environment
  • Experience with data entry, scanning, or records management workflows
  • Familiarity with Microsoft Office (Excel, Word, Outlook, SharePoint)
  • Adobe Acrobat Pro
  • Ability to work on-site and lift up to 50 lbs.
  • Strong data entry and typing skills
  • High attention to detail and accuracy in processing large volumes of work
  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment
  • Strong organizational, communication, and problem-solving skills
  • Independent, proactive, dependable, and adaptable

Responsibilities

  • Process high volumes of survey materials, including cutting, cleaning, batching, tracking, scanning, and file preparation
  • Perform data entry and system input with a high degree of accuracy and efficiency
  • Manage scanning workflows , including batch separation, file naming, and quality control checks
  • Upload and organize files (e.g., DAT files, PDFs) to shared drives or internal systems
  • Maintain tracking logs, spreadsheets, and documentation related to production and processing activities
  • Ensure proper organization and preparation of materials for file retention offsite storage (e.g., Iron Mountain)
  • Operate digital presses (Canon, Konica Minolta) and finishing equipment (cutters, folders, bindery, inserters)
  • Perform cutting, printing, and finishing tasks to support production demands
  • Create, format, and manipulate files for print production (e.g., PDFs, basic layout adjustments, page setup, combining/splitting files)
  • Ensure files are print-ready (proper sizing, orientation, pagination, and quality checks)
  • Conduct basic troubleshooting and routine maintenance on equipment
  • Monitor job queues and ensure quality output
  • Familiarity with Mailing House logistics and workflows, scanning systems, batch cleaning and processing
  • Support incoming and outgoing mail processing
  • Prepare shipments (FedEx, USPS, courier), including labeling and packaging
  • Coordinate distribution and delivery of completed jobs
