About The Position

We are currently seeking a detail-oriented Purchasing Specialist / Office Clerical Assistant to join our team. This position plays an important role in helping ensure customer orders are processed efficiently and that inventory and vendor communication run smoothly. Position Summary The Purchasing Specialist supports the purchasing department by processing purchase orders, communicating with lighting manufacturers and vendors, and tracking order status to ensure timely fulfillment. This role also provides general clerical and administrative support within the office. This is a great opportunity for someone who enjoys organization, problem solving, and working in a fast-paced environment.

Requirements

  • High School Diploma or equivalent required
  • Previous experience in purchasing, office administration, retail operations, or inventory management preferred
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Strong organizational and multitasking skills
  • Excellent attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently and problem solve

Nice To Haves

  • Experience in lighting, home improvement, construction supply, or interior design industry is a plus

Responsibilities

  • Process and maintain purchase orders for lighting fixtures and related products
  • Review orders for accuracy before submitting them to vendors
  • Submit purchase orders to manufacturers and vendors daily
  • Monitor order status and follow up with vendors regarding shipping, backorders, and delivery updates
  • Coordinate with showroom staff and warehouse teams regarding order allocations and inventory availability
  • Assign and reserve incoming inventory for customer orders
  • Respond to internal inquiries regarding purchase orders and product availability
  • Maintain accurate purchasing records and documentation
  • Organize and maintain digital and physical files
  • Assist with general office clerical duties and data entry
  • Maintain professional relationships with vendors and manufacturer representatives
  • Support the purchasing team with additional administrative tasks as needed
