About The Position

The Sales Operations Coordinator plays a vital role in supporting the Field Sales organization by assisting with fleet administration, budgeting, distributor and retail data analysis, and other operational functions. This position serves as the primary support to the Manager, Sales Support, and contributes to the smooth execution of sales operations through effective coordination, reporting, and process management.

Requirements

  • Bachelor’s degree required in Business, Finance, or related field preferred
  • Experience in corporate fleet management, sales operations, or a related role
  • Strong analytical skills and attention to detail
  • Proficiency in Microsoft Excel, PowerPoint, and other reporting tools
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Prolonged periods sitting at a desk, working at a computer, standing.
  • Ability to drive a vehicle and fly on commercial aircraft.
  • Legally authorized to work in the U.S. now and in the future without need for sponsorship

Responsibilities

  • Assist with all aspects of Field Sales fleet operations to ensure efficiency, compliance, and cost-effectiveness.
  • Manage vehicle assignments, transfers, replacements, and disposals in alignment with company policies and operational needs.
  • Monitor vehicle maintenance schedules, manage accident reporting and resolution, and ensure timely repairs and documentation.
  • Track fleet utilization and coordinate asset reassignment to optimize coverage and reduce idle inventory.
  • Serve as the primary contact for fleet vendors, leasing companies, and service providers to ensure service quality and contract compliance.
  • Support annual fringe benefit reporting, state registration and permitting, and ensure adherence to local and federal regulations.
  • Assist with property tax invoicing, cost allocation, and reconciliation of fleet-related expenses.
  • Maintain accurate fleet data in internal systems, conduct regular audits, and support system updates and enhancements.
  • Contribute to the development and enforcement of fleet policies, procedures, and best practices.
  • Participate in annual and ad hoc fleet-related projects, including cost reduction efforts, and fleet strategy reviews.
  • Manage and process invoices related to fleet, distributor programs, and other operational expenses in a timely and accurate manner.
  • Prepare monthly reports for sales operations, including budget tracking, fleet metrics, and distributor data.
  • Assist in tracking and managing the operations budget, ensuring alignment with financial goals and identifying variances.
  • Support the implementation and tracking of sales plans, including documentation, communication, and performance monitoring.
  • Support the analysis of distributor and retail data to identify opportunities for data quality improvement. Collaborate with external data management partner to ensure data accuracy and integrity.
  • Provide day-to-day support to the Field Sales team and Manager, Sales Support, including documentation, and special projects as assigned.
