About The Position

Elite Sports Medicine + Orthopedics is seeking a driven and detail-oriented Scheduling Supervisor to support our Administrative Manager and lead high-performing scheduling and operator teams. This role is ideal for a motivated leader who thrives in a fast-paced healthcare environment and is passionate about building efficient systems and exceptional teams. The Scheduling Supervisor plays a key role in hiring, training, mentoring, and managing team members while ensuring operational excellence across scheduling, Workman’s Compensation, and operator functions.

Requirements

  • Bachelor’s degree preferred
  • Minimum of 3 years of experience in a medical practice, hospital, or healthcare setting (supervisory experience preferred)
  • Strong leadership, coaching, and team development skills
  • Excellent written and verbal communication skills
  • Ability to manage difficult situations and resolve conflicts effectively
  • Strong organizational, delegation, and prioritization abilities
  • Analytical mindset with numerical and reporting skills
  • Working knowledge of orthopedic practice operations preferred
  • Familiarity with HIPAA and OSHA regulations
  • Experience with EMR systems (Greenway preferred) and Microsoft Office Suite
  • Goal-oriented with a focus on continuous improvement and process development
  • Professional appearance and demeanor

Responsibilities

  • Assist Administrative Manager in hiring, training, mentoring, and supervising scheduling and operator teams
  • Oversee daily performance, workflows, and processes for Scheduling Specialists and Operators
  • Set, track, and achieve departmental Key Performance Indicators (KPIs)
  • Conduct regular audits of scheduling accuracy, call quality, and team performance
  • Review recorded calls, provide feedback, and coach team members for continuous improvement
  • Lead team meetings, huddles, and ongoing training initiatives
  • Maintain and update Scheduling and Operator Playbooks
  • Support staffing coverage and assist in queue management as needed
  • Complete annual performance reviews and quarterly check-ins for team members
  • Partner with leadership to improve processes, reporting, and overall team efficiency
  • Handle escalated issues with professionalism and strong problem-solving skills
  • Prepare and submit weekly reports to the Administrative Manager, including: Appointments scheduled Calls answered Abandonment rate Error rate
  • Review and manage daily reports, including: Schedule audits and corrections Work Group Summary Reports for Scheduling and Operator teams Brightmetrics reporting to ensure proper staffing and performance
