Position Summary: The School Registrar is responsible for performing a wide variety of confidential, advanced and highly complex record keeping duties, maintaining accurate student records related to enrollment, withdrawal, transcripts and graduation from high school in compliance with established policies; communicating with internal and external stake holders, and providing general clerical support.

Requirements

  • Associate’s degree in business administration or equivalent.
  • Two (2) to three (3) years’ working experience with High School curriculum requirements.
  • Valid driver’s license required. Must meet state regulating agency and Home Office driving requirements

Responsibilities

  • Completes all administrative functions of the department in a professional, confidential, efficient, accurate and timely manner.
  • Performs daily administrative functions and general office duties including word document creation, editing, saving files, copying, faxing, and responding to internal and external email communications.
  • Provides administrative support to the Education Director and other administrators to include but not limited to calendar management and scheduling, drafting agendas, recording and distributing meeting notes, and other tasks as requested.
  • Prepares a variety of documents and reports including transfers, transcripts, grading, and correspondence.
  • Processes new student enrollments for the purpose of ensuring new students are properly enrolled and placed in accordance with established guidelines and procedures.
  • Compiles information, prepares and maintains a variety of records and reports related to assigned programs and activities. Reviews and verifies accuracy and completeness of various documents; established and maintains a filing system, processes and evaluates various forms and applications as needed for the purpose of maintaining accurate data and records for all students.
  • Reviews and interprets student information, including graduation standards and transcripts.
  • Provides timely responses to inquiries from students, parents, staff and District/State personnel.
  • Processes requests for student transcript enrollment verification for the purpose of providing information and determining appropriate credits, grades and graduation requirements in accordance with established District/State guidelines.
  • Updates student information related to grades, credits, test scores, enrollment history, residency and other student demographic information for the purpose of establishing and maintaining records and files, generating and distributing computerized reports related to student information and ensuring accuracy of input and other data.
  • Withdraws students according to established procedures, completes required forms, submits records to new school as requested, and notifies staff as appropriate for the purpose of providing necessary services and adhering to District/State guidelines and regulations.
  • Monitoring and reporting ongoing student attendance concerns to school administrators.
  • Assists the Special Education department with preparation of reports and student data information.
  • Completes and submits all District/State required reports.
  • Demonstrates an acceptance and respectfulness toward diversity concerning commonalities and differences such as gender, race, age, culture, ethnicity, class, religion, disability, sexual orientation, and gender identity.
  • Remains current on all company policies, assigned trainings and/or certification requirements.
  • Remains flexible and is team-oriented to ensure other duties as deemed necessary for the efficient operation of the department are executed.
  • Ensures a high level of customer service and professionalism for all internal and external stakeholders, clients, and guests is always presented.
