Office Support: Answer phones and route calls accordingly; greet visitors and provide assistance and information; direct visitors to appropriate offices (internal and external); sort and distribute mail; provide work assignments to student workers Organizing and Planning Events: Assist office staff with logistical organizing and planning (room reservations, catering, purchasing supplies/food, etc.); assist with coordination of the GTA workshop. Responsibilities include verifying the matriculation status of prospective graduate teaching assistants submitted by departments, communicating with students to ensure completion of the application form, and maintaining a tracking spreadsheet to record submissions and workshop participation. Support for Graduate Student Support Coordinators: Review incoming forms for required information; distribute forms to appropriate coordinator; make new student files and oversee the filing of student files; tally, record, and deliver and/or link forms to the Registrar's Office and Library weekly Office Supplies and Equipment: Order supplies and equipment using standard purchasing practices; enter tickets for IT and Physical Facilities work orders; coordinate with IT and Physical Facilities to complete work orders Format Checking: Review the format of theses/dissertations to ensure each document conforms to the established S&T specifications; meet with students to troubleshoot formatting issues; work collaboratively with the team to develop policy and procedure proposals for submission to the Graduate Council and Graduate Faculty for approval and adoption Support for office leadership: Maintain calendar; arrange travel; organize and assist in preparing meetings Grad Email Account: Answering basic questions and/or forwarding emails appropriately Other Duties as Assigned
