The Senior UKG WFM Scheduling Analyst serves as the functional and technical subject matter expert for UKG scheduling solutions within the healthcare system. This role leads the design, implementation, optimization, and ongoing support of complex scheduling environments supporting clinical operations, union and non-union environments, and highly regulated staffing requirements. This position partners closely with Nursing Administration, Clinical Operations, HR, Payroll, IT, and Finance to deliver compliant, efficient, and user-friendly scheduling solutions that support patient care, labor optimization, and workforce engagement.

Requirements

  • Bachelor’s degree in Healthcare/Nursing Administration, Information Systems, Business, or related field (or equivalent experience)
  • 5+ years of hands-on experience with UKG WFM Advanced Scheduling
  • Direct experience with UKG Clinical Scheduling Extensions (CSE) and/or EZCall in a healthcare environment
  • Experience supporting unionized environments and collective bargaining agreements
  • Experience supporting large, multi-hospital or academic medical centers
  • Prior experience with system implementations, mergers, or enterprise standardization initiatives
  • Strong understanding of clinical operations, nurse scheduling, and workforce deployment.
  • Proven ability to translate complex clinical and operational requirements into system configurations.

Responsibilities

  • Support end-to-end implementation of UKG Advanced Scheduling and Clinical Scheduling Extensions (CSE) across inpatient, ambulatory, and ancillary departments
  • Design and configure schedule rules, patterns, rotations, self-scheduling, shift bids, and open shift workflows
  • Configure clinical scheduling constructs, including units, profiles, skills, certifications, and staffing demand rules
  • Translate complex clinical staffing models, union contract language, and organizational policies into scalable UKG configurations
  • Lead implementation and support of UKG EZCall for automated call-outs, open shift coverage, and staffing escalation workflows
  • Configure call trees, escalation rules, skill matching, contact methods, and compliance controls
  • Ensure seamless integration between EZCall, Advanced Scheduling, and Timekeeping
  • Serve as Tier 2/3 support for complex scheduling, CSE, and EZCall issues, including rule conflicts, coverage gaps, and interface errors
  • Partner with operational leaders to resolve real-time scheduling challenges in the clinical environment
  • Support system upgrades, patches, and new feature adoption; assess impact and coordinate testing
  • Monitor system performance and proactively identify opportunities for improvement
  • Ensure scheduling configurations comply with labor laws, union agreements, and healthcare-specific regulations
  • Support nurse staffing compliance, skill mix requirements, and acuity-based staffing models
  • Assist with audits, reporting, and regulatory reviews related to scheduling and staffing practices
  • Act as a trusted advisor to Nursing Leadership, Clinical Operations, HR, and Finance
  • Facilitate requirements-gathering sessions and translate operational needs into functional designs
  • Support change management and adoption of advanced scheduling capabilities
  • Participate in WFM governance, standards, and roadmap planning
  • Develop and maintain detailed configuration documentation, SOPs, and job aids
  • Design and deliver training for schedulers, managers, and clinical leaders
  • Mentor junior analysts and contribute to team knowledge growth
  • Drive continuous improvement through automation, standardization, and best-practice adoption
