About The Position

The Service Planner Scheduler is responsible for planning, coordinating, and supporting service and repair work across Nelson-Jameson’s Service & Repair function, which delivers maintenance, repair, and preventative services to food, beverage, and dairy manufacturing facilities. Unlike traditional plant-based roles, this position supports service operations across a multi-site customer base, helping manage work across a variety of locations rather than a single facility. This role combines scheduling, technical planning, and cross-functional coordination to ensure service jobs are accurately scoped, properly resourced, and executed efficiently. Working closely with Project Managers, field technicians, customers, and vendors, the Service Planner Scheduler helps drive consistency, improve service delivery, and support the long-term performance of customer equipment and operations.

Requirements

  • Education: High school diploma or equivalent
  • Experience: 2+ years of experience in maintenance planning, scheduling, service coordination, project coordination, or a related operational role
  • Experience working with CMMS, ERP systems (such as P21), or service management software
  • Working knowledge of sanitary processing equipment, maintenance practices, or similar industrial environments
  • Strong organizational skills with the ability to manage multiple priorities across customers and locations
  • Ability to work independently while supporting a distributed field service team
  • Strong communication skills for coordinating across internal teams, technicians, and customers
  • High attention to detail with a focus on accuracy in scheduling, documentation, and system data
  • Ability to travel up to 25% of the time, primarily around the midwestern region, but also to other regions of the U.S. Must possess the ability to meet documentation requirements for domestic air travel.

Nice To Haves

  • Education: Technical degree or certification in maintenance, operations, or a related field
  • Experience in food, dairy, beverage, or sanitary processing environments
  • Experience supporting field service teams, maintenance teams, or Project Managers
  • Familiarity with preventative maintenance programs and asset management
  • Understanding of quoting, invoicing, or service-based revenue models
  • Experience building workflows, templates, or dashboards within CMMS or service systems
  • Previous experience in a Planner, Scheduler, or Service Coordinator role within a multi-site or field service environment

Responsibilities

  • Develop and maintain service and repair programs, including defining service offerings and associated part numbers
  • Build and manage detailed work orders with clear scope, materials, labor estimates, and service documentation
  • Apply technical knowledge of sanitary processing equipment and maintenance practices to accurately plan and communicate service work
  • Coordinate technician schedules, service timelines, and customer needs across multiple locations throughout the Midwest
  • Support Project Managers by ensuring service work is properly planned and coordinated while they are traveling or on-site
  • Review completed service work to identify improvements and apply learnings to future planning and scheduling
  • Provide occasional on-site support for service work or customer audits, based on experience and business needs
  • Maintain and improve service templates, job plans, and documentation to drive consistency and efficiency
  • Create and maintain asset hierarchies, locations, and maintenance schedules within CMMS and ERP systems
  • Ensure accuracy of service data, including labor, materials, service history, and customer interactions
  • Support reporting and dashboards to track service activity and upcoming work
  • Coordinate with Project Managers and procurement to ensure parts and materials are available prior to job execution
  • Support quoting and invoicing in ERP systems (P21 or similar), ensuring alignment between planned work and billing
  • Contribute to budget adherence and accurate service reporting
