About The Position

We are seeking a highly organized and detail-oriented Training Coordinator to join our team. The Training Coordinator will play a critical role in supporting OWL Services’ technical training programs. This position requires exceptional organizational skills, proficiency in spreadsheet management, and the ability to multitask in a fast-paced environment. The coordinator will manage classroom operations, scheduling, vendor communications, and administrative tasks to ensure seamless delivery of training programs.

Requirements

  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office 365 (Excel, Outlook, Teams, Word).
  • Experience with LMS administration and scheduling tools.
  • Ability to manage data accurately and maintain detailed records.
  • Tech-savvy with strong problem-solving skills.
  • Excellent communication and interpersonal skills.

Nice To Haves

  • Background training, coordination, or administrative support.
  • Experience managing classroom logistics and event planning.

Responsibilities

  • Confirm student registrations and manage class counts to meet minimum and maximum requirements.
  • Prepare classrooms prior to training start (name tents, badges, swag layout, furniture arrangement).
  • Assist with in-class communications and maintain a professional learning environment.
  • Order food, snacks, and classroom supply as needed.
  • Print and distribute certificates and medallions upon course completion.
  • Schedule classes in OWL Academy, outlook, and internal calendars.
  • Managing Resources rooms (skills forge, madge, and tawney) at the TOTC
  • Manage pre/during/post training tickets, including vendor pre-course payments and setup.
  • Manage the OWL-Training email
  • Track and schedule renewal certifications (e.g., Verifone – 2 years, Wayne – annual CEU, API – annual, Tidel – 4 years).
  • Administer LMS in collaboration with Senior Instructional Designer.
  • Communicate upcoming classes and available openings to managers.
  • Maintain and update spreadsheets, including:
  • Master EV Overview
  • Organizational Sheet
  • Vendor Certification Sheets
  • Monthly Training Cost Sheets
  • Class Counts and Results
  • Training Classroom Overview Gantt Chart
  • Trainer Schedule Gantt Chart
  • Swag Store Inventory
  • Provide timely updates to managers and vendors on student results.
  • Complete the invoicing vendor certification classes.
  • Manage swag store inventory and distribution.
  • Order swag, office supplies, candy, and classroom items for TOTC
