About The Position

We are looking for a polished, people-first Workplace Experience Coordinator to be the face of our NYC headquarters. This is a highly visible, in-person role that sits at the heart of our office - you'll be the first person employees, guests, and brand partners see when they walk through our doors. You will work closely with our Workplace Experience Lead to ensure the office runs smoothly day-to-day, from managing the front desk and welcoming visitors to keeping our pantry stocked and our common spaces looking their best. This is a role for someone who takes genuine pride in creating warm, organized, and elevated in-person experiences. This role requires full-time, on-site presence at our NYC headquarters from 8:30 AM – 5:30 PM, Monday through Friday.

Requirements

  • 1–2 years of experience in a reception, front desk, hospitality, office coordination, or customer-facing role
  • Polished, professional presence with strong interpersonal and communication skills
  • Highly organized with a strong attention to detail
  • Proactive and resourceful — you don't wait to be told what needs doing
  • Comfortable managing multiple tasks simultaneously in a fast-paced environment
  • Genuinely people-oriented - you love creating welcoming experiences
  • Must be based in NYC and available to be on-site full time, 8:30 AM – 5:30 PM, Monday through Friday
  • High level of professionalism and discretion when interacting with external clients and guests

Nice To Haves

  • Background in hospitality, luxury retail, or premium brand environments
  • Experience with badge access or workplace management systems

Responsibilities

  • Own the front desk experience - greet and check in all guests, candidates, and brand partners with warmth and professionalism
  • Serve as the first point of contact for visitors and clients, ensuring a best-in-class welcome experience that reflects ShopMy's brand
  • Manage badge access for employees, visitors, and contractors in partnership with Workplace Technology
  • Maintain the pantry, kitchen, and common areas - managing restocks, organization, and cleanliness throughout the day
  • Handle incoming mail, packages, and deliveries; coordinate outbound shipping as needed
  • Support the Workplace Experience Lead with day-to-day office operations and special projects
  • Assist with onboarding logistics for new hires, including workspace setup and coordination with IT
  • Help support internal events and team moments as needed
  • Maintain a tidy, organized, and welcoming reception area at all times
  • Proactively flag operational issues or supply needs to the Workplace Experience Lead
