Appian is seeking a Workplace Experience Coordinator who will play a mission-critical role in fostering connection, culture, and operational excellence. This is a multi-faceted role designed for a professional who thrives in a "hospitality-first" environment. You will bridge the gap between office management, executive assistance, and internal communications, ensuring our headquarters runs seamlessly while creating exceptional experiences for our employees and guests. Requirements

  • 2+ years of experience in workplace operations, executive assistance, hospitality management, or a relevant related position.
  • Must be comfortable working from the McLean, VA headquarters 5 days a week.

  • Technical Proficiency: Strong IT skills, including Microsoft Office and Google Workspace.

Nice To Haves

  • Degree in Hospitality Management, Business Administration, or a related field preferred.
  • Experience with event management software or corporate travel tools is a plus.

Responsibilities

  • Office Operations: Serve as the primary point of contact for daily office operations, maintaining a professional and welcoming environment at our McLean HQ.
  • Visitor Hospitality: Greet and direct visitors—including customers, partners, and job candidates—ensuring required protocols are met with a high level of hospitality.
  • Logistics & Deliveries: Manage incoming/outgoing mail and deliveries, including shipping labels and package distribution.
  • Vendor Coordination: Assist with facility management tasks and coordinate with external vendors to ensure office standards are maintained.
  • Executive Assistance: Provide high-level support which may include travel bookings, complex scheduling, and expense reporting for department leadership.
  • Strategic Projects: Assist with inter-departmental administrative projects as assigned, contributing to broader team goals and organizational efficiency.
  • Meeting & Event Planning: Design, coordinate, and execute internal events and workplace gatherings. This includes vendor sourcing, site selection, and managing food and beverage (F&B) logistics.
  • Travel Management: Support the corporate travel platform, helping to integrate ethical travel standards and assisting employees with travel initiatives that support global business strategies.
  • Experience Design: Use a design-thinking approach to model event flows, ensuring every workplace gathering is impactful, inclusive, and aligns with Appian’s culture.
  • Department Homepages: Maintain and update department internal homepages, ensuring information is current, accessible, and engaging.
  • Employee Communications: Create communication artifacts, including newsletters, guides, and FAQs, to increase adoption of travel tools, event protocols, and workplace updates.
